School forms in Core vs Academics?

We are in the process of digitalizing our enrollment packets, which I've built into School Forms on Core. It's just one school form with the different files as sections (Emergency contact update, transportation, etc.)

Everything can be digitalized, but there is one section of the packet that requires a physician to fill it out and sign. This is normally a fillable PDF, and parents have downloaded it or printed it out and returned it to us by email.

I saw that Medical forms include an option for parents to upload files; however this only lives in Academics.

Is there any issue with having most of the enrollment packet be on Core and just one part of it be on Academics? Even if it's just convenience (let's say we just want to print out everything for students that was submitted, Enrollment Packet school form + Medical file submission), I assume I'd have to jump back and forth between Core/Academics(?)

Should I have set everything up in Academics instead to make it easier for staff to pull this data? I'm assuming on the parent end is there no difference, they see they have to submit two things.

- Follow up question if I should have started off in Academics…is there any way to transfer a school form from Core to Academics? It's quite a hefty packet I would have to re-build…not impossible but just wondering.

  • @Nathan Ong When we were first setting things up, our consultant recommended building all student forms in Academics because student centric Academic form responses are available as roster reports for teachers, while Core forms are not. It does also make it easier for me to monitor progress on registration forms to have them all in the same place.

    You would need to move back and forth between modules to print them in bulk. If printing them for an individual student, you could theoretically print them from the student's or parent's Files & Forms area in Core depending on how you set up the forms. For constituents, the forms published to them all appear in the same Files & Forms area regardless of which module they live in.

    Eventually, our athletic director started to set up the athletic forms that are part of our middle school registration packet. I set these up in Extracurricular for her so that she could manage those forms without being able to manage all forms. For the last few years, our registration checklist has included forms from both areas and the only issue I've ever encountered is remembering where to look for the athletic forms.

    I don't think you can “move” or copy a form from Core to Academics. It is a nuisance to build them again in a new spot, but I did find when recreating the athletic forms in Extracurricular that they were much quicker and easier to recreate than to build initially. Having two monitors probably helped make that easier since I could have both the old and new forms open at the same time.

    I will rebuild them into Academics, as that makes the most sense. I think it will be quicker the second time around since I can just take the format exactly from the Core school forms than PDF files, and luckily it's still summer.

    In response to your note to me on your original post, we do have the majority of our forms in Core, however, that is mainly just because when I started creating our forms, we did not get any direction from our consultant on whether Core or Academics made the most sense. For us, it has not made a big difference because of our specific forms and how we use/manage them; we only tend to print the medical forms (in Academics) and a few other writable PDFs that we have parents upload via the Student Checklists in Enrollment Management. Typically, the forms in Core do not need to be printed so we don’t have the issue of trying to print in bulk from multiple modules. Therefore, we made the decision to leave them where they are rather than recreate them.

    Note we only use the Medical type form to allow for the PDF uploads to the Nurse’s office as there are some bugs in the Medical forms that prevent us from using them for anything else, at least for now.

    Would be great if we could ‘move or copy’ school forms between modules but afraid that’s a dream at this point.

    It wasn't too bad as since I already made it once in Core, I just recreated it having both editor modes open (in Core and Academics) and following/copying pasting that. Just took a couple of hours but it should hopefully be the only and last time as we're setting to launch this.
