Deleting Old Credit Memos

We have old credit memos that are either unapplied or have not been applied that we would like to delete from the system. The reasons for these credits not being taken is mostly because the company has gone out of business or we no longer purchase from that company. How do I delete these credit memos?

    In the credit memo, there is a delete button. 1. IF posted, you can hit this button, but it will ask you for a reversal post-date because the reversal must be posted.

    For NOT yet posted credit memos, especially in past periods it is important to verify if the unposted credit memos were captured in the audit…this could happen if the auditors were provided with a GL or TB with not yet posted transactions. In this case, your only option is to go back and open the period and post. Usually reports to the auditors should not include unposted transactions, but just in case best to verify since this may be org specific. If NOT posted and not part of your audited figures in the past:

    2. To Delete: IF unapplied, just hit delete. IF applied-- hit the unapply first, because the credit memo needs to be unapplied before you can delete it. Then you can delete this with the “delete” button on the credit memo screen.

    3. OR change the status of the credit memos to “do not post” (Marking the transaction “Do not post” will get unposted credit memos out of the GL not yet posted reports. But it will keep the credit memos in AP.)
