Handling enrollment contracts that are signed, no deposit paid, and then family declines

We have had a few families who sign the enrollment contract, told us their were going to wire the deposit and never did. Then, ultimately they decline the offer. Because the contract is still in the pending contracts portal, we want to remove it and deactivate the student. We impersonated the student, selected Decline Offer and then went in and deleted the contract but that eliminates the ability to view the contract (if we ever wanted to view it again). In the contracts tab in the student record, click on View Deleted Contracts and the window pops up but we can't actually click on it and view it.
How do others handle this situation?

  • We required EFT of the deposit and advanced tuition in order to submit the contract. We only off wire transfer to our international students.

  • Yes, we do the same. Wire is only available to international students. Once both parents sign the contract, it appears in the contracts awaiting payment (with the little yellow yield sign). This particular contract was sitting in there for weeks because the family never completed the wire. We wanted to move it out of there. This is when we impersonated the student, selected Decline Offer and deactivated the student. Our processing staff was trained that they should completely delete the contract at that point. I'm wondering if there is a way to decline the offer and deactivate without totally deleting the contract.
