Position Summary
Reporting directly to the VP of Advancement, The Donor Database Manager is responsible for the accuracy and integrity of donor data in the Development Team’s CRM, Raiser’s Edge NXT. This position supports the Development Team by managing queries and reports from the database, ensuring accurate gift entry, producing donor acknowledgments, recommending policy and procedure updates, and providing support for Development Team activities and campaigns.
Ideal Candidate
We are looking for someone who is experience with using Raiser’s Edge NXT or a similar donor database, therefore, someone who is tech savvy will be most successful. This role requires someone to be detail-oriented, while maintaining updated donors’ information. GSRV is looking for someone who is member-focused, while providing exceptional donor support as needed.
This role requires someone who is team-oriented and who can execute with impact. This role will require cross-functional interactions with other departments (Finance, Customer Care, and Operations).

Responsibilities
To be successful, the following are essential duties and responsibilities of this position:
Essential Duties and Responsibilities
- Raiser’s Edge database management – Database backend and NXT views
- Handle all queries, reporting, list building, exports, and other aspects of the Blackbaud Raiser’s Edge database.
- Maintain and improve the overall integrity of the database by updating records, merging duplicates, entering new information provided by donors, prospects, or staff.
- Periodically review and update donor information retained in the database for accuracy and relevance. Produce donor background reporting as needed.
- Perform gift processing duties including entry, acknowledgments, pledge reminders, matching gifts and committed gift batches to finance.
- Ensure all gift, contact and donor background data is accurately and promptly entered into Raiser’s Edge
- Work closely with the Finance department on the daily gift report and serve as the liaison to third-party donation platforms (e.g., Salesforce, Your Cause, CyberGrants, FrontStream, Benevity, PayPal, Donor Advised Fund portals, etc.).
- Coordinate gift processing from receipt of gift to acknowledgement letters/tax receipts. Ensure that all gifts received are processed and responded to correctly and promptly.
- Monitor and report on fundraising goals and progress using Raiser’s Edge NXT reports, Report Builder, and Dashboards.
- Generate monthly, fiscal year-end, and special financial gift reports.
- Track and manage development event attendees in NXT and provide essential reports and lists related to cultivation and fundraising strategies.
- Build, test and track custom online giving pages in Raiser’s Edge NXT to support digital fundraising campaigns and appeals.
- Provide updated mailing lists for direct mail and digital communications; populate constituent records with applicable appeals.
- Work collaboratively with Customer Care and Membership Services to integrate key data from Salesforce into Raiser’s Edge NXT.
- Reconciliation with Finance department
- Participate in monthly reconciliation of gifts with Finance.
- Ensure accurate data sharing between accounting software and Raiser’s Edge NXT, supporting Finance with reconciliation and audits.
- Collect and provide reporting of data required for monthly financial closings and annual audit.
- Act as the in-house donor database expert, providing assistance to and training development staff and other key users on basic Raiser’s Edge practices. Identify additional training resources to support the team and organization in its use of the system.
- Maintain software, implement upgrades, and recommend changes as necessary in collaboration with the VP of Advancement.
- Troubleshoot database problems and act as the technical liaison with vendors.
- Update and maintain the organization’s Raiser’s Edge/Gift Processing Policy and Procedures manual.
- Perform other related duties as assigned.
Additional Duties and Responsibilities
- Collaborate with colleagues across the council, GSUSA staff, and colleagues from other councils.
- Actively participate in all-staff meetings, staff in-service training, and other meetings.
- When representing the council to both internal and external audiences, articulate GSRV’s desired image and position to all audiences.
- Actively support the council’s commitment to diversity, equity, inclusion, access, racial justice, and anti-racism. Conduct all activities with a high degree of cultural competency.
- Contribute to building a cohesive, flexible, and productive staff environment that demonstrates the values and mission of Girl Scouts and delivers high-quality customer service.
