Gift Subtypes - how are they linked from RE to FE and can they be used on split gifts

Hello -

I didn't find a way to cross-post this from the FE to the RE category, so apologies if it shows up twice.

I'm looking into how my org can better track pledges that will likely be paid via DAFs. Currently, the Business Office is duplicating funds we have already created to make a DAF version, which just seems inefficient and like a way to bloat the database.

I don't have access to the FE side of things, but based on the linked KB article, gift subtypes can be added directly into the GL distribution of any fund. Subtypes seem easy to add to the fund in RE, is the process the same to set them up in FE? How does subtype populate when entries are posted in FE?

Also, can subtype be used on a master pledge gift record if it is split to different funds? For example, a donor pledges a gift split between Capital and Annual Operating funds that will be paid over five annual installments. The full pledge is entered in one gift record and funds are split in the split gift tab. We expect just the annual fund portions to be paid via DAF so we used the DAF subtype to denote that. Subtype is only set up on the Annual Operating funds and not the Capital fund. Will the subtype still populate for the Annual Fund portions in FE?

If anyone can provide insight it would be very helpful!

GL Distribution is affected by Gift Type, Gift Subtype, and Fund.

This is all defined in a Fund record's GL Distribution tab where a combination of GIft Type and Gift Subtype defines the Credit account and Debit account for the combination. The RE Fund itself does not go into FE, assuming your fund = project in FE, in the Fund GL Distribution tab, it defines which Project(s) is being posted to and for how much of the "gift amount" as a percentage.

That said, first thing I will discourage is split pledge. Pledge management becomes extremely difficult when you start having split gift in pledge, you will not have clarity on which split has been paid as payment application does not allow you to select a split to pay.

As far as the DAF subtype, i will need to give it some more thought about what you trying to do before I answer.

I believe the gift subtype applies to the entire gift. It is entered on/part of the gift record. It is not a field that is available on the split gift data. It could be entered on the payment record for the gift.

Yes, if you use gift subtype you need to enter GL distribution / FE account #s on the fund record in RE. I don't understand why finance would need to create a separate fund for DAF gifts. But using a subtype would allow you to do this and direct payments to that accounting fund.
