Applying gifts in a batch to a pledge/commit choice Only apply gifts to pledges and recurring gifts

Fairly new to all of this, but wondering if anyone has a quick answer to my question. The person who enters out batches applied some gifts to some pledges and when I view my validation report it shows that they will be applied to the pledges. I get this part.

My question is this, when I commit the batch, do I also have to click the button in front of "Only apply gifts to pledges and recurring gifts" as well as "Only apply gifts to pledges and recurring gifts with the same fund(s)" for the gifts to actually be applied to the pledges?

I think the answer is yes, but just want some validation that this is correct. In my early days I made a mistake that cost me hours to fix and I'd like to avoid the time associated with learning from my mistakes, if possible.

My other reason for asking is that in the article referenced below, it seems to differentiate between individual and all gifts in the headings that address these things. This would make me wonder if I should indeed check those boxes.

To apply individual gifts in a batch to a pledge

and

To apply all gifts in a batch to the constituents' pledges

Finally, when I committed another batch with pledge payments, I didn't realize that the pledges had already been "applied" and I didn't choose the options above. I had to go into the individual gifts and apply them to the pledge after the fact. At least I know how to do that, but I just want to avoid problems that I don't yet know the answer to.

I appreciate any help anyone has to offer. 🙂

Still using database view for this stuff as I'm not sure how much is available in NXT.

When using db view batch, I always have both boxes checked for the 'apply' options. Obviously, if someone is making a pledge payment I want it to apply. I check the boxes because I don't want special project gifts from a donor to apply to their exisitng pledge, say to the capital fund.

If there's no pledge, it's irrelevant.

This has worked for me for years with only a couple issues when person made extra gift to same fund as their existing pledge/recurring gift was.

  • It is not necessary to check the boxes if you applied the gift to a pledge in the batch. It will be applied. I did have a couple issues, as JoAnn said, with gifts being applied that should not have been, so I only check them both when running my monthly recurring payroll deductions. But if you do have them checked, you can confirm before posting and change any that should not be applied.
