Year-End Giving Statements and Gifts-in-kind

My organization generates year-end giving statements for all constituents that gave 2 or more gifts in a calendar year to be mailed out to them. We host a lot of auction events that receive gifts-in-kind, but I realize now that those gifts will not appear on giving statements (at least I am not aware of a way to make them).

I would like to know how others are handling this situation, and if there is a way to have GsIK appear on generated giving statements. Any help is appreciated!

  • There is not currently a way to do this withing RENXT. You will have to manually add them to giving statements, generate a custom receipt for each gift, or do a mail merge by exporting them all out into a spreadsheet and creating a receipt document with those merge fields in it.

    Very frustrating experience. It's the same for any stock gift.

  • How are you generating them now? There is an annual statement report in database view that allows you to filter the gifts you would like to appear on the statement. My understanding is that although this same report is available in webview, it does not allow the same level of filtering.

    I have never used the annual statement report since for two reasons:

    1. Every organization I have worked with on these projects has a lot of poorly coded gift data that needs to be reviewed first
    2. The ability to format the report is VERY minimal. So even if the first issue was fixed, the report still would not work well enough.

    For that reason, I have always done a query and export to get the data and merge into letters and tables for the statements. Either method (annual statements vs. query and export) allows you to include GIK.

  • @Karen Diener this time I generated them using the Giving Statements tab under Gifts in the webview. We really liked the layout of this report until we noticed it did not include all gift types. I did try the annual statement report, and the lack of format options steered me away from it.

    I think you and @Lee Grisham are both correct. We will likely need to just export our data and create our own printable reports for each constituent. Hopefully, they add more gift types to the Giving Statements in the future.

    I love Letter Box for this purpose - you need the pro version for Giving Summaries - you can easily email the bulk of the statements if that interested you but you can also generate PDFs for printing. I did my email ones earlier this week - waited for bounces and now I'm working on the mailed version (3 letters)

    You use a gift list and set the parameters. I wouldn't want to send statements that include in-kind gifts so I've not tested it.

    Red Arc has a monthly subscription so I literally only use (and pay) for this one month out of the year. So worth it for us. My templates are still there - I update the language to reflect the year and make sure the person sending the email is correct and voila.

  • Funny enough after speaking with my manager this morning, the in-kind gift situation was simply a courtesy for one of our major donors. We don't typically provide that to constituents and the receipt we provide for in-kind gifts does not include a dollar amount, so I think for now the Giving Statements in webview will suit our needs. We only generate giving statements at the end of a year as a courtesy to our constituents for their own records.
