How should I set up multiple agencies using our Raiser's Edge solution so that agency users can't see other agency data?

We have multiple departments/agencies with their own fundraisers and donors. We all use the same instance of Raiser's Edge NXT. We want to set up the organizational structure so that fundraisers from one agency can't view or make changes to another agency's data.

@Jack Wagner Security groups in database view is likely the best way to go here.

However, a couple questions? Would a constituent be part of only one department/agency or could they be part of multiple? If only one and that can be or is defined by constituent code, you can set up security by constituency.

If someone may be part of multiple departments/agencies, you can still use the security by constituency but you may want to also add Gift security by fund to only see the gift information related to the department/agency the employee needs to see.

  • @Dan Snyder does have the correct answer - that is the only way to handle it.

What I don't know - and recommend you test carefully - is whether or not webview respects the same security setting. And because this is configured in database view, and there is no equivalent in the Roles settings for webview, it is hard to know if this functionality will continue once database view is disabled.

  • @Dan Snyder, thank you for your response. We have constituents donating to multiple funds, so I will use security by constituency and gift security by fund.

  • @Karen Diener - Thank you for responding. You bring up a great point. I've been here for a year, so most of my knowledge is Web View-related. I will work with one of our Database View experts to setup the security and permissions.

While this does not get to @Karen Diener's longer term question of will you be able to create new security profiles with this level of restriction once security is fully managed in web view, I can confirm that the settings do work in webview. One thing that surprised me a bit is the giving summary section showed latest, greatest, first regardless of the fund security. If I tried to click in for more information I got the nothing to see here screen. The all gifts list tile did respect the fund security though and this particular record had nothing listed as it should have. @Trit Mulligan just flagging this as something to consider as you move forward.
