look at the Sort / break sections. Set account code as top sort. then any other account piece set below it and set action to Mask.

  • Thanks Kevin, and that is how I've configured the report.

My goal is to have one line for the account code, account description, beginning balance, debits, credits, and ending balance. Currently the generated report present 2 separate rows; the first row is the account information (highlighted in yellow) and the second row is the amounts. There are subtotals too, which I'm not interested in seeing.

For reference I've attached two screen shots. The first is the 'sort and break' configuration in financial edge. The second is the generated report in excel.

Hopefully this is helpful to achieve my one line goal?

My consolidated end of year trial balance yields a file with the following columns account number, description, beginning balance, total debits, total credits, and ending balance. Our account number is a XX-XXXXX-XX with the five central digits being the base account code of our chart of accounts. It doesn't make a difference if I choose to sort by Account Code or Account Number I still just get the line by line summary by the full account number. I export the file to excel and then use the MID formula to isolated the five digit account number and then pivot the data by that number to get to a one line per account core number.

  • Thanks Patricia. I'm hoping there is a way to generate a summary TB from FE and not have to use any excel formulas.

I can see you don't have the fund masked. This is what I mean, with all fields but fund masked on the sort/break the report shows like this :

Notice how only thing visible is the account code and the report automatically consolidates it, so the 1000 in my screen shot is every variation of my 1000 in use in my database and so on.

    everything but account code masked.

  • Thanks. That's currently how i have it at the moment which requires excel formulas to get the account description on the same row as the data (and account code). Unfortunately the format I'm hoping for would include columns for

    1. account code
    2. account description
    3. beg bal
    4. debits
    5. credits
    6. end bal

It doesn't appear that is possible, correct?

when you do the consolidation, it takes the account description out by default because we're combining all uses of an account code down from 2 or more accounts, which could have different names as the account description can be different than the account code and other accounts using the same account code. In short yes, you'd have to add the description manually after exporting the report.
