Booking Birthday Parties Through Altru

I am new to Altru and am hoping someone could provide me with so information on how to use it to book birthday parties online. I am hoping to avoid having to use a resource-heavy phone/calling system and ideally would like to have the entire booking process automated through Altru. I see some folks have done this is the past, but all of those posts are years old at this point. Is anyone currently doing this that I could chat with to get some advice/help?

  • If you want to be able to sell tickets online, you will need to set up an event for this. I think you would want to do a pre-registered Program Event. You would set up the “event” for each slot that you have available for parties, with a capacity of 1 ticket. When someone registers for the event, i.e., books the party, it would no longer be available to someone else. With a program that requires pre-registration, you can add questions and disclaimer text to the webform. That might be your best bet.

  • Yes, we basically do what Margaret suggests. We have program events with a ticket capacity of 1 and when someone books the time slot, it is no longer available for others. We then manually enter the reservation into Group Sales so that we can track headcounts and charge for additional guests. We use this process for both parties and also school visits. We are a small enough museum that we only ever have 1 party or 1 school visit at a time so it works for us.

  • Thank you for this! Are you able to collect information from the guest when they book? For example, not only do they reserve their spot, but they can submit number of pizzas, preferred activity, etc?

  • Yes, you can use what's called Registration Information to add custom fields to a form. You can have a drop down or enter text.
