I'm wanting to inactivate revenue acknowledgements no longer in use but not lose them forever

I am wanting to clean up my revenue acknowledgements by inactivating processes that are no longer used, but I don't want them to be lost forever, trying to retain historical information and retrieve/reactivate if needed. If I choose Inactivate on the revenue acknowledgement letter (first step of setting them up), it gives an error that it cannot be inactivated because an assign letters process is using it - which the process isn't running and hasn't been for a long period of time. I don't want to delete the assign letters nor the actual acknowledgement process, there is no inactivate option on these two. Any suggestions?

    Hi Cindy, I recommend removing the letter from the acknowledgement process and assign letter process. For historical reference you could add the letter name to the process description. A letter is required for both processes, so creating a new letter named “Inactive Letter” could replace the existing letter. Once the new letter is swapped for the existing letter, you can mark the letter inactive. The acknowledgement process data list includes the name of the letter, so it will be easy to identify the processes no longer in use.

  • Before I delete a process I take snapshots of the process setup and store them in a “deactivated acknowledgments” folder in my one drive
