Learning Profile Notes

Hi all,

I'm working with our student support team to start utilizing the Learning Profiles in our K12 system. We were hoping to find a way for the student support team and teachers to communicate specifically about the LPs. My coworker says she remembers there being a LP Notes functionality previously, but if it ever existed it doesn't seem to anymore.

How are you all tracking communication about Learning Profiles? Official Notes are a nice thought, but they don't offer exactly what we're looking for since these would be internal and not necessarily include the student or parents.

We've created a temporary “Contact Notes” Form, but it isn't usable in the long-term because we'd need to continuously add/replace the notes and would have no way to see a conversation thread that way. I'd love to hear what other folks are doing!

    Hello Jess, might you be able to list the features the communication solution would need to fulfill? it seems official notes with custom notifications should fulfill most of what you described, but I could be missing something.

  • @Jess Moxley, we try to keep as much of this type of detail in the LP itself. We also use Official Notes to document supplementary material, and in the setup of the Official Note, you have control of whether the note is internal only or also visible to parent and/or student and/or teacher.

  • We have taken a look at Official Notes, but the folks who need access to these notes have various system roles. We want much more specific access permissions than Official Notes offer :(

  • @Jess Moxley when I have staff that need access to official notes but don't fall under any of the roles included in the setup, then I create a monitoring team made up of those people. I also divide teams up depending on if people want to receive the notes by email or just have the ability to view them within the system. It has worked pretty well. The biggest issue is if you want certain staff to get notes on certain students only. For example, department chairs ideally would only get the notes written by their department but you can't separate those out (that I know of). So I have a monitoring team of the department chairs and they receive all official notes for all students of their division. They just ignore the ones not written by members of their department. It isn't ideal but works good enough at the moment. Don't know if that helps or not!

    We are also starting to use the LPs. I've built it out and we plan to unroll a new process for 23-24.

    We also are having a hard time figuring out the communication piece for parents, students, & teachers impacted by an LP. Were any of you able to figure out the following:

    - How do you handle proof that the teachers have read the LP? For example, if Ella has a new LP, how do we get proof that her 5 teachers have seen the LP or acknowledge that it exists?

    -How do you handle proof that the parent and student have acknowledged the assigned LP? I could do a standard School Form that is assigned to the Parent and Student with generic verbiage such as “By signing this form, I acknowledge a Learning Profile has been assigned…..”

    Does anyone have any insight on these questions? Thanks!

  • @Susan Ott We are just starting to use official notes, and I want to be able to set up a monitoring team with access to view the official notes in the system, but who do not receive a notification when one is created. It's not been clear to me that this is possible. Am I right in understanding that you do this, and could you tell me how you set that up?
