How to track which constituent has received what swag

Hi – My organization is looking for a way to track what swag/merch we have distributed to which constituent so we can make sure not to send them the same shirt/hat/pin over time. Does anyone know how I might do this?

Additionally, it would be helpful to know how to pull up a list of disparate names to apply that data to. We recently created a social media push to ask alumni to update their information with us, so the list I am working with is not a specific class or type of donor.

    Merchandise items can have a $0.00 retail price. So, you could create individual merchandise items for every swag option you offer. When you give that item to a constituent, you could use daily or advance sales to “sell” it to them like any other merchandise item.

    You can view the sales order tab on the constituents' profile to see the date and the item they were given. (However, you would have to scroll through all their other purchases, looking for those items.)

    You could also create a query to view who was given what and when, or a query on who hasn't received a particular item, etc.

    Hello! We've also used Attributes to track Member pins given to the members. Category is Member Pin and Year, Value is Yes, and the Start date is the date received. We can also create a query to see who has received their pins.
