Event Registration set-up for open houses

We have a checklist item for our open house Events. Parents usually only need to sign up for one of half a dozen dates.

Rather than having each open house be its own Event and own checklist item, I made one “Open House Event” with multiple registration options.

I am running into trouble trying to figure out the best way to deal with people who either reschedule or are no-shows and should have the option to sign up for another one.

Right now, if someone reschedules, I-

  • Delete them as an attendee
  • Delete the Event in their student record
  • Re-set the checklist item to “awaiting”
  • And then impersonate them and re-register.

However, it seems like I may just be able to change the registration option (choosing a different date) in the Attendee Options.

For no-shows who need to be able to sign up again, we like to have a record that they intended to attend the Event but didn’t.

I found that just marking them as a “no show” doesn’t make it so they can sign up for another day- the parent still sees that they are registered on the checklist.

So now if they are no-shows I-

  • Delete them as an attendee
  • Re-set the checklist item to “awaiting”
  • Keep the Event in their student record

This then makes it so we can’t use the analytics in Events to know how many initial sign-ups and the like we had.

TLDR:

  • What is the best way to set up an Event or Events so that it doesn’t require multiple checklist items
  • What is the best way to handle no-shows so that they can sign up for another date
