New Grantee Portal & Requirements

Has anyone been able to publish a requirement and add it to the Workflow in the Programs Manager yet? I have tried and receive an error message stating form is not available and then it is not available in the drop-down to add forms in Program Manager.

UPDATED with BB response: can only use the same form once per Request

  1. Adding the form to the workflow makes it available to publish out to a grantee. Here's an example workflow:
    1. Create Progress Report form
    2. Publish Progress Report form
    3. Add Progress Report from to the appropriate Program
    4. In BBGM, go to request
    5. Create Requirement
    6. Click Publish to Web
    7. Select the Progress Report form that was just added to the workflow
    8. Grantee will then be notified that an additional form is available, and they'll be able to see it in the portal

  • @Arancha Lattanzio I had that issue too. It wasn't working for me because I had my Requirement forms built as a Request form. Is your form built as a “Progress Report?”

    Hi Jenesha, I've actually tried both a legacy requirement and created a new separate Progress Report to test both. When I try publishing the requirement in the legacy system, it states “form does not exist”. And therefore, I cannot publish it and try to find it in the Programs Workflow section to add it to Workflow. I was testing out an application and approved it, but in the new portal it states it is still “in progress”. So even though I added the new separate Progress Report to the Programs Workflow, until the Request (application) is approved, I don't think the Progress Report will be available in the grantee portal. I hope this makes sense! I have not had any responses from BB on any of my questions. They have asked us to test, but if the system doesn't work for me then my testing is stalled.

  • @Jenesha Nance I made the same mistake so I rebuilt the form as an Additional Documentation form. As @Arancha Lattanzio noted, you can only use a form once in a Program. I flagged this with the BBGM support team here in Australia after I pointed out that many foundations have multiyear grants with multiple reporting requirements over the life of a grant, and they have raised this with Blackbaud as a major defect that needs urgent attention.
