Where did Manage Enrollment go?

  • I agree with Jeff. Blackbaud should have undone the changes as soon as they realized there were so many problems, and it's inexcusable that they haven't. This has been a hectic scheduling season for my school for a few reasons unrelated to this change, and this has made it much more stressful.

To add to the list of problems - I don't think others have mentioned these but my apologies if they have - sometimes changes to students schedules do not save, despite trying repeatedly. And yesterday I tried to delete a course from a student's schedule (delete the request for the course) and it deleted that course, along with the one above and below it! At least that's how it appeared on the screen. It happened twice with the same student before I gave up and just left the request there.

I'm so worried about all of the changes that I may be accidentally making to student schedules - or changes that I thought were made and were not. We have enrollment caps on all of our courses and I fear I've promised a student the last spot in a class, and then the change didn't save, and I've later given that spot to someone else. If there are student schedule problems because of this, I'm the one who's going to look bad.
  • I would gladly settle for a Search feature that works. Just give me that. (Oh, and maybe the student enrollments with the blocks identified in alphabetical order.)  I'm losing precious time in my already fading life to clicking the arrow to get Zhu after finishing with Bowers. I'm losing my mind. And it seems that I cannot change school years--to check a students' prior enrollments--without leaving Student Enrollment; I have to go back to Academics, make the change, and the return to the dreaded arrow to advance to the kid I just left.

Running list of new/upcoming updates and unresolved issues:
    1. Improvements planned:
      1. Course ID on the grid and in search changed to Course Code
      2. Displaying block with the section ID in the select section dropdown
      3. School level filter available on the Student Enrollment page
      4. Changing context menu (three dots beside student name in the list) to a one click Edit button
      5. Researching options for performance improvements in load times

      7. Researching options for seeing sections across a department rather than just a course

    1. Issues
      1. Searching for a student highlights the names rather than narrowing down the list
        1. Will be resolved with the 1/22 release
      2. Adding a request – existing sections do not display under the blocks under the request is saved and the window reopened
        1. Resolved 1/15
      3. Blank screen comes up when selecting Edit Enrollments on the Overview tab in Scheduling
        1. Resolved as of 1/9
      4. Unable to delete a course request when editing a student enrollment on the Student Enrollment tab.
        1. Resolved as of 1/9
If you have experienced an issue not on this list and have not already reported it through Support, please reach out to support to create a case. That will ensure the team has all the information needed in order to properly investigate any issues.

We are also reviewing your other feedback in this thread and through the Idea Bank about what would make this new screen truly valuable to you so please keep the feedback coming! I may also be reaching out to some of you directly to get more details and discuss your workflows.

    Some recent questions:
    Why the changes?

One of our main priorities is to provide modern and consistent processes that enable us not only to continue to deliver existing functionality, but also support upcoming features. Changing a single student’s enrollment had 3 different methods in the system prior to this change! This update consolidated these screens down to 2. Upcoming features such as Enrollment Types (allowing for enrollments such as Audit in an existing course section) will also now be able to surface on the page making for a single spot to make any changes needed for a student’s course enrollments.

Timing of the changes at semester

We always strive to be as thoughtful as possible regarding when larger changes are released. I apologize for the impact the timing of this release had on many schools. With so many schools on different schedules, sometimes timing for the middle of the semester is hard to do without impacting some cross section of schools but your feedback is extremely valuable to ensure we make better informed decisions on timing in the future. We are also in the process of reviewing our release process to determine how we can make it less intrusive.

    Communication of the changes

The feedback regarding the communication of the changes is also very helpful! We have been working to find the right balance of communicating enough about changes without overloading you with too much information to go through. We are also in the process of reviewing how and when we communicate larger changes and will use the feedback from this situation as we build some internal guidelines.

    Move Students to Another Section

This is still accurate with the changes made this month. Students can be changed to a different section using this method.

    Individual Student Enrollment

Overall this is still accurate, but the visuals/words on the screen are slightly different. I will work with our documentation experts to get this updated so it matches more clearly!

  • Jacqueline,

We appreciate the attention to try to resolve the issues resulting from last week's updates. Thank you for suggesting case submissions for ongoing issues regarding the updates. We look forward to resolution for a clear and logical way to handle student enrollment tasks. Perhaps a focus group on UI workflows might be helpful to better understand the importance of speedy student enrollment tasks.

  • Yes, a huge problem.
  • Could someone please tell me what the current "Delete" option does (that replaced the choice of "Error", "Drop", or "Transfer") on the Student Enrollment screen, when you click the ellipses to the left of a student's name in a current or future quarter?  Is it like "Drop" or "Error", or does it do something problematic on this screen, and should be avoided?

    Hi Cecilia,

Error, Drop, and Transfer are still the options for enrollments in the current term, but for future terms, "delete" will delete the request for that course and it will disappear from the course requests. Personally, I like to go ahead and delete a course request if the student no longer wants the course, because I think it looks cleaner. But if want to leave the request, I just change the section number to blank to remove the student from the course.

  • Our scheduler has been in pain the last two weeks.  We have provided feedback, but definitely feel that we all were put in an Early Adopters Program (EAP).  My colleague has had work twice as hard and lost confidence in the program and we both were frustrated by the process.  You all can do better.
  • I heard back from Support on the case indicating the Search feature in Student Enrollment had been fixed.

However, (I replied back) there is no filter on the Student Enrollment tab for Division. You still have to pick the Division on the Overview tab ,two-tabs-to-the-left, in order for the search to find a student that is not in the default Lower School division. Once you have chosen the appropriate Division for the student you are looking for and then return to Student Enrollment, only then will the search function will work.

  • When moving students from one section to another: I typically add a student to the new section of a class before moving grades and comments and withdrawing them from the old section. With the changes in Manage Enrollment, I don't seem to be able to enroll a student in a class that they are already taking. Is this true? Is there another way that I can do this so that I can place the student in the correct new section while the teacher takes time to copy over the grades? Thank you!

  • They don't
have to copy the grades; the new teacher can get a report with the
old grades in the gradebooks reports: Grades for Dropped
    Courses.

  • Amanda -

You can still do that via:

    Academics > People Finder > Student's name > Groups > Academics > Manage

    Hope that helps.

  • Amanda and Scott,

The ability to use People Fidner ---> Groups---> Manage saved our scheduler.  It pretty much is a near duplicate of Manage Enrollment.  However, it does not have, the modern SKY interface, which means it will be moving on soon.  Hopefully, STudent enrollment will be useful again by that time.
  • The edit layout for block schedules is not beneficial. It would be great if we could have both Fall & Spring semesters in the same viewing area. Also the Status field is not accurate, It will say in progress or completed when the student may not meet the criteria for a "complete schedule(every block filled).
  • Jacqueline - thanks for keeping us up to date on this.  Question on the new scheduling interface - the save and next student is very similar to what we had in Education Edge when we created queries, but the filtering aspect is very skimpy right now.  Are there going to be more filter options added from the gender, grade level, and couple of options we had?

When this was proposed in the idea bank and saw it was going to be implemented, I thought that the filter would allow us to select a specific class and a specific section.  When we did that in Education Edge, it allowed for us to quickly reschedule a class from one period to the next as only 20 or so students who were in that specific class section showed up.  Or if the class was too large, it was much easier to balance as we could just click "next" to go to the next student in that section.  Right now it is more cumbersome as we have to print out the class runner or do a screenshot of the kids in the class section and search them one at a time.
  • Just want to add a vote for Chris's comment - it would be a HUGE help to be able to filter by class or course.
  • Good Morning, I don't care how you dress up the page; this is the information I need in one view: courses with block designations in block order with teachers' names.
  • Part #2: Attached is what I currently see: courses in alphabetical order, as if that has anything to do with scheduling...and no teacher names.
  • In the old system, when editing a students schedule, the requested courses and section would come with you as you scrolled to the right to see the available blocks.  Now you have to go back and forth which is very inconvenient.  I wish the requested courses would stay stationary when you scrolled to the right.
  • I agree, this is a big problem and one which makes it very easy to make errors when moving students around.  Please, please fix this!

I totally agree with the view, we need to see teacher names otherwise if I have 4 sections with different teachers I always have to remember which teacher is which section #

  • I called mid-January to speak with support to reinstate 'Manage Enrollment', which I thought had just disappeared from MY computer. When I found out that as of January 8 it had been removed from 'Scheduling', I requested that BB return it asap. I have been making student schedule changes in EE for years and was very happy to have the improved 'Manage Enrollment' feature. I particularly need the 'Enroll' screen which allows you to choose multiple enrollments from the list of all potential course sections that are clearly identified with section/block numbers and teacher names.

Until today, when I saw that Manage Enrollment is back for now, I was relegated to 'Student Enrollment', which is like going back to the dark ages. It is the same slow, multiple step drop/enroll process that I found so frustrating in the former version of EE that we used.

Thank you for bringing it back for now, and PLEASE keep it going!!
  • I totally agree. Please do not remove it again.
  • Super! Blackbaud is listening to you! Keep up the discussions on what is important to you and the tools you need/want to do your jobs effectively!
  • Was it communicated that it returned anywhere or like when it was removed it was a surprise? Changes aren't really the issue, the fact that they are surprises is.

    Good morning everyone!

Thank you again for continuing to provide feedback on the Student Enrollment tab and Edit Student Enrollment dialog. I've included updates below regarding some recently released changes, planned changes, and answers to a few questions. Keep the ideas/feedback coming!

I specifically want to call out two major updates

    - New filters at the page level! A major request has been the ability to change the school level or school year without having to go back to the Overview page. With today's (3/3) release, this is now available! You can find the filters above the scheduling tabs.

    - As many of you have noticed, with the 2/18 release, a notification banner was added to the top of the Student Enrollment page. This banner includes a link that will allow you or your users to access the previous Manage Enrollment page. This will be temporary and will be removed this summer prior to the start of the next school year. Although we hear you loud and clear that users loved and were comfortable with that page, unfortunately it cannot support new scheduling features that are being released. To prepare for it to be removed for good, we encourage you and your users to use the new page as much as possible and continue to provide feedback on what is missing to make schedule changes here just as easy! We will be continuing to make updates over the next few months based on your feedback.

              - Changes like this are also documented in our release letter. You can view current and past release letters here: https://webfiles.blackbaud.com/files/support/helpfiles/education/k12/panel/content/bb-k12-new.html

Now on to other improvements/resolved issues:
    1. Recent Improvements:
      1. Default spacing of the columns to better accommodate longer block names
      2. 'Save' and 'Save and Close' buttons so users don't have to reopen the window if they want to save changes
      3. Course ID on the grid and in search changed to Course Code
      4. Displaying block with the section ID in the select section drop down
      5. Cleanup of when Error/Drop/Transfer displays vs Delete
      6. Updated Add request so the same course can be added multiple times
      7. Add request is now limited to courses actually offered in the term
      8. School level filter available on the Student Enrollment page
    2. Improvements Planned:
      1. Hide Unfulfilled Requests option
      2. Changing context menu (three dots beside student name in the list) to a one click Edit button
      3. Researching freezing the top row and left columns (course name and section drop down) when scrolling
      4. Researching options for the course sort order
      5. Researching additional filters
      6. Researching options to better display more class section information with less clicks and be able to see multiple sections' sizes for a course at one time
      7. Researching options for seeing sections across a department rather than just a course
    3. Resolved Issues
      1. Student search not filtering the list
        1. Resolved with the 1/22 release
      2. Performance improvements to the loading time of the window (many changes released but we are also still working on improving this)
If you have experienced an issue not on this list and have not already reported it through Support, please reach out to support to create a case. That will ensure the team has all the information needed in order to properly investigate any issues.

For ideas/feedback continue posting here, in the Idea Bank, or please feel free to reach out with a direct message if you'd like to share examples/information privately.

    Thanks so much!

  • I know your group has made some sort of change to accommodate a "bigger picture" plan, but I believe you can tell from all the discussion on this subject that the users - the schedulers - did not have a problem with the old system and are not happy about this major change. I would like to ask that the "Manage Enrollment" tab be placed back as it was and function as it did, if possible. It sounds like no one asked for this change and we are the users of the system.

    Thank you for your consideration.
  • I would like to make a general comment on the user interface in this area.

Consider what proposed/implemented for one of the complaints in this forum:

"School level filter available on the Student Enrollment page",

    I think this is a short-sighted solution.

I think there is a more general problem with this layout:   The "overview" information, laid out as another tab, makes it look like "siblings" [my term] to the other tabs.

I maintain that the school year, school level, term,  is not sibling information, but a layer above the other tabs and should therefore be displayed [and manipulable] in all the tabs.

    [like on the top].

Use the overview tab only for overview information.

It always felt very odd to have to go to one tab to change what I'm working on in another tab.

  • If you are are taking suggestions for Student Enrollment enhancements, here is one that would be super helpful to me as I build a master schedule for 2020-2021 (have plenty of quiet time with distance learning now).

It would be tremendously helpful if clicking on student's name in the "View fullfilled/unfulfilled matrix" screen brought you directly to the Student Enrollment view for that child. Would save me tons of clicks, paper, and time.
