workflows for stewardship

Hi. We are a small liberal arts college and we use workflows for stewardship. The workflows are set up to assign an action to a particular gift officer, me (the DB manager) and our stewardship manager depending upon the gift. If it is a new donor, 3 actions are assigned, one to the stewardship manager to create a welcome packet and send it to the donor. At the same time an action is created for the gift officer within the gift amount range. The gift officer will then send a hand written thank you note to the donor. The 3rd action is assigned to me to add a note to the donor record that they will get an e-version or hard-copy version (depending on amount of the gift) of our semi-annual magazine. We have been using it for nearly 6 months and it has worked really well. The tricky part is not duplicating your lists so that the gift officers are getting multiple actions for the same thing / donor. Once the workflows are running, the process is awesome.

The workflows are driven by lists. I just used a gift list and used the time frame of "Prior week" and the gift amount range. You have to have a different list for each workflow.

Jeff- Where did you learn to set up the b'day cards? Did Workflow Designer classes teach you how?

This is terrific! Are you able to do the same thing with cumulative gifts? If cumulative giving in a year reaches a level, can it trigger a workflow? Thanks!
