Generating Backup Reports after Posting

Hello all, we recently transitioned to FENXT (w/ access to FE) and I am assistant to my Acctg Mgr, who wants me to do the data inputting, and she do the posting. We are realizing that when she posts, a lot of the reporting we want to keep as backup is no longer available to run later by me (that we know of), and she does not have the spare time to generate all those at the time of posting/save/fwd to me, etc. Right now the posting reports we know we want to attach with our paperwork are: Bank Draft invoices paid (i.e. a ‘mock check’ showing what was paid/date/etc), deposit receipts that show where the funds were allocated (not just amount/date), and journal entry reports for each entry. Can someone steer me to how to run these and whether they can be ‘recreated’ later for printing, not just at the moment of posting? Thank you!

    Once you print a posting report, you cannot go back and re-print it. However, in FE, you can go back and re-print from the Journal Entry list, a report that is similar to a posting report. What we do, is we print the posting report and attach it to the backup. Then we scan that as a PDF and attach to the JE Batch in NXT. I hope this helps.

    With a small team of 2, you could also maintain control/separation of duties by having you do data entry, your accounting manager mark each batch as approved after review, then you do the posting after the batches are approved. With you doing posting, you would be able to print/save reports as needed at the time of posting.

    The database admin can set business rules to require that batches be approved before posting, and security can be set so that the person doing data entry is not able to approve batches, but can post them.

    I recall a bbcon2020 session that covered this topic, or perhaps a Customer Success series -- perhaps someone from Blackbaud can provide the link if still available.

    We also have a small office and I do scan all of the back up for the journal entries and attach them. For the batch reports you can click on the view report and it will open the report. Once the report is open, I save the report in a folder.

    We have a shared folder that we use for this titled “Scanning." Once a report is opened in FENXT, you click on the button that says open as a PDF (lower left.) Once the PDF opens, save it to the scanning folder. You can come up with naming convention but “Batch report 2176” or something similar would make it easy for you to then go in and attach the reports to the individual journal entries.

    I would suggest adding the Attachment column to your screen, you would then be able to see what journal entries you need to attach the reports.

    Again, I do this every day with my batches, it really does not take that much time. If you want to talk let me know.
