Event Module - "Other Donations?"

is this https://kb.blackbaud.com/knowledge.../articles/Article/40676 the only option to check on the total of "other donations" made from an event form? I followed the instructions and my export came out with all of the records and $0.00. I know people made additional donations...

  • Hi @Lauren Fardella - It has been a while since I used Events. Do you know if the “other donations” were linked to the Event? I create an Event Query to pull donations and a Gift Query to compare the two to verify all gifts are linked to the Event. (FYI - the link took me to a Facebook sign-in - it may have been just me).

  • Yes the other donations are linked to an event….to provide more detail, this not an ACTUAL event we have going on. We are using the event registration form to sell T-Shirts. Donors have the option to make an additional donation. This is the form:

    @Lauren Fardella or others, we have the option on many of our alumni events ($0 fee) and a couple item purchase pages. Alumni director who created these left recently and I am wondering if there's a better option within NetC for receipting.

    We currently are having to run a separate gift entry for the donation amount and mailing hardcopy receipt for the amount. Have you found/Is there a way to include the donation amount with charitable contribution statement as part of receipt process for an event? I've looked but don't see what I think would work.

  • I think this is a holdover from before OLX existed and we were all doing manual data entry. Registration Fees were for “things you could buy related to the event” - tickets, sponsorships, raffles, etc. The Other Donations tab was designed to track donations people gave in your name to take part in the event. Now we more often use the term Peer to Peer - “support me in the marathon” or “donate to my family when we walk this 5K together”.

    Donations made via OLX event registrations or webview registration forms will not automatically be placed on the “Other Donations” tab of a participant record.

    If you have enabled the option on an OLX Event Registration form that allows people to make a donation in addition to their event registration, this might come through as a split gift. If you use the same Fund for the event registrations as you do for donations - not everyone does - it may not split. So if your event ticket costs $35 and some people donate an extra $15, the gift would be for $50. You might not be able to tell from the gift alone if it was a registration plus a donation, or an outright donation of $50. That registrant would be in the Event record with a registration fee of $35, but I do not think that the “other donation” will appear on that tab of their participant record.

    Does that all make sense? It is my working theory from having used the Event record heavily in a past life, and seeing a lot of changes related to it and various online event registration tools.

    So far I haven't had to run many reports on this. What I've needed I've been able to pull using the fund description where the money goes and gift date range. Won't always work if other donations are coming to that fund at the same time.

    I found that in the past the extra amounts were not always entered as donations so working to correct that as some are significant amounts.

    Oh right - you did say that in the initial post, which is hard to refer back to when composing a response. My guess is that you won't be able to unless you also refer to Participant info on the event record. It probably won't show on the gift itself.
