GL Posting Report?

Hi, our business office is trying to reconcile the GL. They cannot find some gifts that RE (NXT and DB view) is showing as posted. CFO thinks the dates in RE aren't matching somehow with the bank deposit dates. We need help with general forensics but is there a way to run a list of gifts by GL post dates? Are we doing something wrong? Thanks in advance.

You could definitely use a Gift Query to find this information. You may want to filter on the dates that gifts were entered and include GL post date in the output, and/or may also want to query on the GL post date for gifts in a time period.

There may be reports too, but I have always found queries to be a much faster way of getting what I need when handling troubleshooting issues like this.

Depending on your company's posting process, you may use different way to do this. It is possible that when posting to FE, RE “bombed” out and did not fully post into FE while RE indicate has been posted.

When you say “cannot find some gifts”, I'm assuming you cannot find the “transactions” relating to gift in RE that said are posted. The query needs to be run in FE not RE and if FE truly can't find these transactions, then you need to use the unpost utility plugin in RE database view.

@Trent Smither Just throwing it out there - could gifts have an adjustment or an amendment? Or do the missing ones all happen to be the same type? Is a type missing on the post criteria.

Thanks to everyone that has posted. I think this Gift Query will work. Will post again if I cannot sort it out.

  • @Karen Diener The query is showing GL Posted Status as “Posted” as expected but Gift Batch Number and Gift Batch Description columns are empty. Thoughts?

  • @Trent Smither
Then they were not entered via gift batch - entered directly on a record. Do you keep copies of checks or anything that would help you verify that the gift information was then handed over to finance so they could enter?

Entering gifts and posting gifts are entirely separate processes. You can enter a gift and select “Posted”, but it doesn't really mean anything. This is where good business processes fill in where software cannot.
