Hello,

We are new to BB and having some trouble. I have families in waitlist status for the 2024/2025 school year. I will need to followup with them to get updated report cards/reports for their application to be reviewed again.

How do i change their status from waitlist to candidate/applicant again? (if that is the right way to do it?)

When I change their status to to applicant can the parents go in an upload new report cards? Do I have to change the drop down back to “awaiting” for the parent to see we are needing a few items?

    @Jen Stare if a parent has already uploaded a file to a checklist step and it's been marked completed then you will need to change the status to awaiting and they would be able to submit the file again.

    When we waitlist a student, it is not a status but a decision. So Decision would be the status and the school decision is waitlist (other school decisions are Accepted, and Denied). A student is a Candidate through the entire enrollment process until they become an Incoming Student or Student and should be able to work on their checklist no matter what the status is. I hope this helps!

    So I guess you just keep the student as Waitlist until it is officially accepted?

    In the mean time you can click and change the items needing updating back to “awaiting” and then its good to go? I probably need to change year enrolled?

    This is much more straight forward than the “BB chat” offered me…LOL

    They mentioned the parents going into their portal and clicking “apply another child” there is an option to select their same child they want to apply agin and then it sends you an inquiry to assign a checklist, year and it goes right into their portal.

    The older checklists still remain just in a different year.

    @Jen Stare when we waitlist we don't do anything with the entering year until we are done with our admissions cycle because sometimes a seat opens up in the current year.

    When changing or adding a new entering year, there are things to consider. If you just change the EY from 23-24 to 24-25 then you won't have historical numbers when looking at admissions data. If that doesn't matter to you then it is easiest to just change the EY. We DO inactivate the 23-24 waitlist candidate and give them a new 24-25 EY and checklist as you described from the BB chat. It's not terribly difficult and then you keep all your historical numbers for each entering year. We rely heavily on our admissions analysis dashboards to set goals and forecast enrollment for budgeting purposes.
