Gradebook Grades List and a few other items

My name is Mike and I'm one of the Product Managers working on the Education Management suite of products. Today, I wanted to quickly give some updates and provide some transparency on a few defects that have arisen in the last couple of weeks.

Gradebook Grades List Sometimes Doesn't Load

The first issue has to do with the Gradebook Grades List and how it will sometimes just display a pulsing green orb. The issue has to do with how that list fetches data. The reason for the orb is because the list is trying to pull all of the potential data that can display in the view at one time, even if you're choosing to not display certain datapoints. In particular, the datapoints for non-Academic group types is what is causing the timeout to occur. As the school year progresses, that list is needing to pull more and more data, which is resulting in longer load times and eventually timeouts.

To address this, we've implemented a longer timeout period, but depending on the amount of grade data at your school, you may still see this list timeout. In order to implement a complete fix, we'll need to better optimize how the list is fetching data and that may take some time. We have another round of research looking into this issue in the near future and are hoping to have more information once that is concluded. If your school is encountering this issue, submitting a case to our Support team will ensure you're linked to the internal defect and notified once a fix has gone live.

In the meantime, the best workaround is to construct an Advance List to pull Gradebook Grade information. We also have a template to help you get started with this kind of list and more directions can be found here: List of Gradebook Cumulative Grades by Marking Period (blackbaud.com)

Assignment Submitted Timestamps Sometimes Display Incorrectly On Evaluation Page

If your school finds itself outside of Eastern Time, you may have noticed the timestamp on the assignment evaluation page is incorrect. This is because the setting that displays time on this specific view is incorrectly looking at ‘server time' which is always Eastern. The Gradebook and the assignment screen students use to submit are correctly looking at the ‘Hours from server’ setting and adjusting the timestamps accordingly.

A fix for this issue will be going live next Tuesday. In the meantime, if a school is outside Eastern Time, looking at the timestamp in the Gradebook will correctly display when the student submitted their work. To see this, simply hover your cursor over the submission icon (Blue or Yellow inbox icon).

Student Assignment File Box Sometimes Doesn't Load When Using Google Drive

Students can sometimes find themselves with a pulsing green dot when navigating to an assignment page that requires a file to be submitted. This most often happens when the Google Drive integration is enabled. There's a process that is trying to load the integration into the File submission box and it doesn't always load correctly. This results in the student seeing a pulsing green dot when viewing the File box.

For this issue, refreshing the page will often trigger the box to load properly. We're actively investigating this issue now and are hoping to have a resolution released in the near future. We don't have a specific timeline to relay for this issue, but if you have seen this, feel free to submit a case to Support. They'll make sure your case is linked to the defect that way you are notified when the fix is deployed.

We know defects can cause frustration, especially when they affect faculty and students. We're working through these issues and will do our best to get you fixes as soon as we're able!

    I have been fighting with the google “pulsing dot” for a while now - because a refresh mostly helps (sometimes event rebooting) I just wrote this issue off to individual device “junk.” Although annoying, I am glad that there could be a fix. BTW support is quick to blame these issues on the google integration, so ticket never makes to the product team level - sadly.

    Hi Folks -

    Just wanted to log a quick update here. We made some improvements to how the Gradebook Grades List pulls data back. We have effectively introduced two data pulls, one that used when navigating to the page that is pulling just grade information. There is a secondary function that is now pulling Group data when that is being included in the list output. The situation where group data is being pulled into the list, you may still notice that the list takes a couple of seconds to load. I think the longest period we saw yesterday was roughly 20 seconds. Even with that longer load time, it appears that the timeouts are no longer happening between the schools that have reported the defect to our Support team. We'll likely be working to optimize this list further in the future, specifically forcing Marking periods to be part of the filtering to further granulate the data being returned. No ETA on that, but this issue should be largely resolved in most use cases.

    We were also able to release the update to the timestamp on assignment submissions for our non-Eastern Time Zone friends. If you are still seeing incorrect timestamps, please reach out to Support so we can investigate further.

    The last issue involving file uploads is something that we are still working through but we're hoping to have a resolution in the near future. In the meantime, if you school has encountered this, please submit a case to Support and you'll be linked to our internal defect item.

  • Thanks for detailed updates, @Michael Morrissette. So very helpful. I have a pending case open not because of timeouts but because filtering a gradebook list by an Advisory Group no longer finds any records. (Our use case scenario is athletic eligibility where all of our athletes are put into a single advisory group, and then we use that advisory group as a filter in a gradebook list to just show athletes that have cumulative grades below a defined threshold. Has worked wonderfully for years but is broken recently.) Is that related to the timeout issue or something completely separate?

  • @Michael Morrissette Just following up here - The assignment submission timestamps are still not fixed. This time, rather than seeing different time zones between the gradebook and the assignment details page, all assignment timestamps are off by 3 hours (we're a PST) school. I put in a ticket with support on April 26th for the “new” problem and they're basically saying it must be something related to how our site demographics are set up which is where the system sets our time zone and “hours from server”. These are settings that only Blackbaud can edit….. We haven't had a fully functioning LMS since the beginning of February.

    Hi @Geoffrey Goodfellow - Apologies, I'm just now seeing this update. Yes, the issue you're describing is/was related to the timeout issue we were seeing earlier. When pulling group related information into the list, depending on how many groups and how much assignment data exists for the given year, the list can still sometimes time out. Filtering by Marking Period has been helpful in getting the list to produce when pulling in group data. We're still looking into some of the more extreme data cases that are causing the list to timeout.

  • Thanks, @Michael Morrissette. After Tuesday's update, Advisory Group filters still seem to be not working in Gradebook lists. If I open a brand new gradebook list, it shows 10K+ rows of gradebook data. If I open filter, and select to filter the list by an Advisory Group that only contains a smaller number of students, the list instantly switches to no record found. This doesn't appear to be a time-out issue, since it is immediate. I'll keep working with my support case, but I just wanted to let you know as it relates to this community post.

    I wanted to quickly log another update regarding the Gradebook Grades List.

    Over these last couple of weeks, we've been tweaking and optimizing the Gradebook Grades List as much as we can. With this upcoming Tuesday release, 05/21, we will implementing our last attempt at optimizing the existing list. For the majority of schools using this list, it should be loading reliably. However, there are some schools where there is substantially more data and they may still be impacted by the timeout error. If your school falls into this category, I apologize for the impact this issue has had over the last several weeks. I will note that this information can still be pulled via an Advance List and if you need help with that, please feel free to reach out.

    Because we can't optimize the list any further given its existing architecture, we're planning on overhauling the list completely in the coming weeks. The revamp will mimic the Report Card Grades List and will not return any data until you first insert some baseline filters. I don't have a timeline to relay regarding when this updated list will be implemented, but I'll communicate here again once that timeline is ironed out.
