Uploading to Learning Profile

Is it possible to just upload a file and have it show in the Learning Profile section of a student's profile? We don't necessarily want to use the build in Learning Profile forms, but when we have an ISP for a student it would be a helpful place to keep it.

If this is not possible, any suggestions as to where another good place to store this would be? It needs to be private, but visible to the student's teachers.

  • Hi, @Amanda Polson. We do use the Learning Profile components, but we do sometimes have supporting documents like Neuropsych evaluation or other things. We keep such documents in the Files and Forms tab of the student's record in Core. We have a document name configured in Core > System Tools > Bulk Upload > Manage User Files that permits only the parent of the student and teachers to view the document.

    Teachers open their class roster, choose “View Profile” for the desired student and the switch to the Progress tab where the documents will then be displayed underneath the conduct and attendance boxes.

    It has worked reasonably well for us.

    Because we use the Learning Profile tool, teachers see a large green LP next to students in the roster that have Learning Profiles which is a helpful prompt. When they read the LP, it may reference supporting documentation, so they know to go looking for it. In your case, if you didn't use the Blackbaud LPs at all, your teachers would have no visual cue that there is file available. Just something to consider.

  • @Geoffrey Goodfellow thank you for your thoughtful reply! That is really helpful. Im glad to know about the prompt next to kids names when the LP is used, I think our team might be more open to using that form if they know about that part.

  • @Amanda Polson I will agree that the LP templates in the system are a bit clunky, but they do contain all the information our staff and teachers need even if they don't look pretty. At the very least, I suppose you could create a bare-bones LP in the system that was only used to signify that the student had an LP, and perhaps the only thing that LP says is to see the uploaded file and gives instructions to teachers on how to access the uploaded file.

  • @Geoffrey Goodfellow I am trying to use your method above to upload an IEP under forms and files. I have created the folder in Core, but when I impersonate a teacher and head to the student's progress tab, I do not see a card for files/folders. How do I activate that to show up in this area (or has it moved since this post?) Thank you!

  • @Ashley Falloure, since this 2023 post, I believe that Blackbaud has now added the ability to upload attachments directly to the Learning Profile itself. In Academics, on the student's record, when you go to the Performance tab, down in the Learning Profile pane, if you add or edit a Learning Profile, in addition to filling out the LP form itself, there is now a spot at the bottom to attach documents which is very helpful. As for the Core documents you asked about, I believe that there are some security rights issues that determine whether users can see those Core documents. In the setup of those files, a Platform Manager must define which roles in the system can see those files. I'll be honest, now that you can add multiple attachments to the Learning Profile itself, that is probably the preferred solution versus uploading documents to Core.

  • @Ashley Falloure Something that I forgot to mention is that the uploads associated with the Learning Profile itself are only available to Learning Profile Managers and not teachers. Supposedly, this functionality is coming to teachers in a future update, but not yet. If you want teachers to see documents, then you would need to store them someplace else and link to it in the profile or send them to Core files.

  • We just started using Learning Profile and ran into the same issue for Parents & Students unable to view Attachments. Might have to use a Bulk Upload workaround. Hope BB comes out with a update soon.
