BBMS Gifts - how to query on them?

Hi

We've just got BBMS and the transaction lists are poor. Our finance team have no idea how to code donations. We want to generate a query with a) gifts in this week b) gifts added to RE that came via BBMS. I know that each gift generates a Transaction ID on BBMS, as I can see it within the gift on NXT. But I can't find that field in query to use a a criteria for select all gifts this week where Transaction ID is not blank.

All I want to do is to pull a query in RE NXT that shows the transactions/gifts that have been processed using BBMS, so that we can provide our finance team with a query showing campaign, fund and appeal and comments.

    Hi,

    We no longer have RE/NXT, but when we did (we only switched to Altu last fall), we used to have to create a query of credit card transactions for the period covered by the BBMS disbursement (ie. 04/2025 to 04/07/2025) and export the information needed included the card holder name attribute. We would then cross reference that with the BBMS report in excel format so we could combine the two reports and have all the information our finance person needed. We used Vlookup to make the process easier. Let me know if you have any questions.

    @Karen Mitchell I think a simple gift query should work for this purpose. Unless you have another way of processing credit cards, just a criteria of pay method = Credit Card or Direct Debit should suffice. I wouldn't worry about transaction IDs unless you have so many gifts that matching by Name and Date would be too cumbersome.

    We use a gift code of BBMS. I'm not certain why that is not enough but we also have a gift attribute code of BBMS. This code is used as a filter for daily validation reports. And can be used for querying.

    Unlike BBNC and Online Exprees, where a lot of gift attributes are created when a gift is processed, RE NXT doesn't do that. The BBMS transaction id is stored at a location that is not queryable directly.

    without doing a lot of manual work to add info into the gift (i.e. gift code, gift attribute/custom field), you can do a gift report via SKY API and that will have info on the BBMS transaction id. There are quite a few power automate template that is “near” what you want, but not specific to your need. If you interested in going down this route, you can check out the getting started guide in developer.blackbaud.com. You can also use a Blackbaud partner or independent consultant.

    I did make an assumption here as I do not use RE NXT Donation forms.

    RE NXT event registration's gift record does not have any gift attribute added, making it difficult for normal querying.

    JustGiving that integrates with RE NXT does have “some” attribute, but also missing a lot of info

  • @Karen Mitchell The attributes for Just Giving do not appear on a gift record until after the batch has been committed. You can see the donation page attributes for gifts made through an NXT online giving form in batch (but not event registration forms.) However until the gifts are committed they will show as pending, but I am not sure of the pending data is able to be pulled in a query.

    We add a gift subtype to our gifts to designate the source of gifts e.g. BBMS, Just Giving, EFT, etc…

  • @Karen Mitchell In a recent update, Blackbaud has begun adding a few gift attributes for NXT donations, including “Donation Transaction ID”. However, I've found that this only comes through when the donation is a one-off gift via an NXT donation form. If you're processing automated RGs through web-view then you don't get the attribute on the RG payment records.

    However, there is a work-around that I'm currently using. I output the Authorization code from query/export and use that to match to the BBMS transaction list. You can include any other fields that your Finance team needs in the export and should be good to go.

    Hi Brian. I have had to resort to using Authorization code to match gifts wihtout a Transaction ID to BBMS but I have learned the hard way that Authorizations codes are not unique and the same code may be repeated within two weeks for different donations and donors. Please make sure you use as combination of fields to create a unique key to match on e.g. AuthorisationCode-Amount-Gift Date otherwise you may run into difficulty.

    That's good to know Catherine! We're currently doing a daily reconciliation of the BBMS transactions to the RE gifts so haven't come across the repeat AuthCode yet but will definitely keep an eye out going forward.
