Ensuring the correct address for tax acks to Organization accounts

We are trying to develop better guidance for our staff in working with Organization accounts in BB CRM. We often have many duplicate accounts for organizations because of the address on a check for an organization is not in the system, so a new account gets created for that organization for that address. This ensures the tax ack will go to that address, however it also ensures a lot of duplicate accounts!

Do you have general guidance for your gift processors on handling organization accounts (when to create a new account vs. use an existing account)? Would you just add the address to an existing account for that organization?

We did not really explore the Mail Preferences functionality in BB CRM as it would add a decent amount of complication to our acks process.

  • @Amanda Brown we don't have this particular issue in our office but my instinct would be to create a new address type of “Tax ack” and add that as a non-primary address to the existing constituent record, rather than create a whole new constituent. I think you should be able to use address processing to select which address type you use for specific mailings.

  • I agree with Alan. We have an address type called “Receipt Contact”; our receipt queries pull this if it is present and otherwise use primary org address.
