Orgs who utilize an Online Requirement to send out signature requests for Contracts

Hello everyone! As we push to automate certain processes with the new BBGM portal, my question is: does your organization utilize the Online Submissions Requirement to send out a Contract for signature?

We currently pull all grantee contracts as a Word doc, convert them to PDF, send out individually via AdobeSign, and individually upload them to their proper Request record (I know.. it's a long process).

However, after a few trainings, we realized that there are organizations out there that create a Contract as a Form and then create a Requirement to batch-send all contracts (with proper contact fields, grant amount, etc.) to recipients so that they may be able to view and sign their grant contract all within Blackbaud.

In order to convince leadership, it would be great to know if your org uses this process for contracts in order to provide examples of those who trust this process.

  • We continue to do pretty much the same thing as you. At first we were excited about the idea of managing the contract through the portal. Our biggest drawback is that at a minimum, we have 2 signatories on every contract - the grantee and us, the foundation. Some grants have a 3rd signature from the grantee's legal department (their requirement, not ours). The portal can only collects the grantee's signature. (Unless someone has found something I haven't?) We have been able to simplify our process for confirming ACH transfer information using the portal. Valerie

  • We send a PDF of the grant agreement out via email or the online portal and have created a REQUIREMENT for them to upload the signed grant agreement and banking information. The form includes the grant id#, award amount, start/end date, and project title.
