Database Administrator - US Coast Guard Academy Alumni Association
The Alumni Association is pleased to announce an opening for a Database Administrator, a valuable opportunity for professional growth within a team deeply invested in supporting this person's development and success.
The Database Administrator will be directly responsible for the comprehensive management of the constituent databases (Blackbaud Raiser’s Edge NXT, Anthology Encompass, and SignalVine). This includes ensuring that the databases are correctly organized, managed and utilized; all transactions are processed, all information is input according to standards and procedures; and reports are generated as needed for all areas of the organization’s operations and business management. This position will work closely with the Development and Alumni Engagement departments, while providing some support to the Director of Business Operations within Financial Edge. The Database Administrator reports to the Vice President of Communications and Marketing and will be an integral part of a dynamic communications team that supports all efforts of the Alumni Association.
Responsibilities
• Administer the operation, maintenance, updates, data input, data integrity, and accuracy for the Raiser’s Edge NXT (RE) constituent database management system, as well as the Anthology Encompass and Signal Vine platforms and any future database platforms. This includes making necessary changes to the databases to maintain accurate information in all locations.
• Manage integration and ongoing imports and export of data between the three databases.
• Enter data from donations and pledges, event registrations, and membership dues into RE. Utilize Omatic Importomatic software for entering online transactions.
• Produce queries and reports via staff and class requests, prioritizing and accommodating competing requests for data and reports according to established guidelines
• Create new import profiles in Omatic for ongoing event registration needs and other imports including but not limited to annual directory, incoming students, incoming parents, new graduates, etc.
• Process weekly gift acknowledgement letters, monthly membership bills and monthly pledge reminders utilizing both RE and Anthology
• Update Crystal Reports for daily, weekly, monthly and annual reports
• Post batches to Financial Edge (FE) and work in conjunction with the Director of Business Operations to post journal entries for FE as needed
• Assist the Director of Business Operations to ensure proper gift accounting and reports for audit purposes. In addition, some posting to the General Ledger and processing Accounts Payable checks may be required
• Work closely with database vendor (Blackbaud) on upgrades, issues and products
• Present a friendly and helpful demeanor when assisting our constituents with questions related to their donations, event registrations or membership fees
• Manage the onsite communication needs for events from printing name badges and table tents to providing accurate registration lists for check-in
Qualifications
This unique position will offer the right person the opportunity to touch every aspect of the organization’s success. In addition, this candidate will have an innate understanding that collaboration is the key to a healthy database as is the ability to remain flexible to meet the varied needs of a membership and donation-based organization. This person will be a self-starter that is not afraid to think outside the box to come up with creative solutions and strives to develop professionally within this role in order to continually optimize the organization’s use of the database. This position also offers unique opportunities to assist with the execution of the broader Strategic Communications Plan for the organization.
Minimum Required Education, Experience, Skills
• Associate degree required
• 2-4 years of related experience in Raiser’s Edge database or similar product
• Expressed cultural appreciation and sensitivity in interacting with a diverse alumni population
• High level of professionalism with good interpersonal skills, and the ability to build and maintain collaborative relationships with external and internal constituents
• Effective oral and written communication skills
• Strong planning and organizational skills
• Creativity with the ability to take initiative, respond to multiple demands, and pay close attention to details
• Solid computer skills with experience in the Microsoft Office suite of products, with advanced knowledge in Excel
Preferred Education, Experience, Skills
• BS/BA degree in a field that lends itself to engagement work in the non-profit sector
• Experience with the membership and event tools within the Raiser’s Edge database or other similar product
• Experience with Anthology platform or other website platform
• Experience with Omatic Software
• Experience with Crystal Reports
Physical Requirements
• Candidate must be able to sit for long periods of time while using a computer mouse, keyboard, and telephone
• Candidate must be able to stand and walk for extended periods of time during alumni events
• Candidate must be able to lift 10-20lbs occasionally

• Salary range is commensurate with experience
