Applicants Only: Visible to award recipients through a private link

Can anyone using this donor profile visibility choice confirm if ALL applicants can see the donor bio or if only award recipients can do so? I thought when it was first created it was ALL applicants, but it appears to have become more restricted since then? (Or maybe I have always misunderstood. LOL!) Thanks!

  • @Tamara Tsang I thought all applicants could…even the general public. I have gone to other schools' sites and have been able to see the donor profiles.

  • @Arly Douglass I think you can see them if the “Visibility” field on the donor profile is set to “Public” versus “Hidden” or “Applicants Only.” Knowledgebase originally defined this last as visible to all applicants on their website,

    but then more recent articles say “recipients,” which is a much smaller group of applicants….and what we want, so I was hoping others might know how narrow the visibility really is.

    Our donor relations colleagues DO NOT wish to use this area of BAM as a virtual donor wall/recognition. They only wish us to use the donor profiles to assist award recipients in writing their thank you notes, so we've had to leave all of our bios hidden until we can verify that's the case. Which is sad, because I have over 200 bios I could be sharing, but instead can share nothing with the students until I have the option to just share with award winners. :(

    Your question intrigued me as I thought I understood correctly what the setting we have been using for donor profiles for the past few years allowed in terms of visibility. We have everything set to “Applicants Only” as we took that to mean the student who was awarded would see a link to the profile on their post acceptance page that they could use to learn more about the donor when writing their thank you note. Then I read the descriptions in the link you provided and thought maybe “hidden” described what I need – “Hidden indicates that the donor profile is will not be displayed on the public facing Donor page. Applicants can view the profile via a link to the donor when offered an award from a portfolio associated with the donor, and the donor can view their profile by using the profile's Public URL”

    So I went to a few of my portfolios to check. Right now, in the “Applicants Only” setting, there is a link in Post Acceptance to the Profile for the student who has been offered and accepted the award, HOWEVER, I noticed that at the top of the page they can click “Donors” and look at EVERY donor profile in our system. As we do not want our students shopping our scholarships we did not want this, but it does seem to fit with the description of “Applicants Only” in the article - Applicant Only means the profile is only visible to applicants who have logged into the system. The donor profile is not visible on the public page.

    So…. I changed a profile to “Hidden” to see if that would remove the profile from being seen by any student who was logged in, but would provide a link to the student awarded the scholarship. When I did this there was NO LINK to the profile for the student recipient. I have no idea if the donor could log in and see their profile as I have not tried this yet. So honestly, not sure what the point of “Hidden” is unless it is used for an inactive scholarship.

    I do not believe the description of these categories is very accurate. If you select “Hidden”, your profiles will not be visible on a public facing page, and students - even the scholarship recipient - will also not see it. If you select “Applicants Only” it will include a link on Post Acceptance for the student recipient but will also be shown on a “wall” of donors accessible to every student who signs in.

    Though we have not yet experienced an issue with students looking at all of the donor profiles and “shopping” scholarships, it was definitely NOT our intention that students see this wall of donors, only the information about the donor for THEIR scholarship. There needs to be some editing done to these descriptions AND an additional category added for only awarded student and donor access.

    I found a newer article describing how to set up a profile with this description of the categories:

    Applicants Only: Visible to award recipients through a private link

    Hidden: Visible only to administrators

    Public: Visible to any internet user

    Still implies that the award recipient sees through a link (which is correct) but does not acknowledge is visible to EVERY applicant signed into the system if they click “Donors”
