Using workflow designer for two tasks

Hello all.

We are exploring using Workflow Designer. I have two questions:
1) For a workflow that sends emails to new donors, how do you prevent sending an email to a donor that's been marked as new but really isn't? I'm thinking I would be extra vigilant in the batch data entry stage, but I'd like to hear other suggestions.

2) We would like to send an email to lapsed donors for those who are lapsed for a year. I can create a query for those who haven't given in a year, but I would want the database to automatically look for donors who haven't given in a year or more. I don't think the workflow is sophisticated enough to do that, but maybe there's a way I could do it with a static query or list.

    @Jane Van Ingen - NXT Workflow can only do so much, plus you'll have the limitations of Constituent List filters to contend with as well. You may be better off looking at a tool like Power Automate to run these types of automation. Here's a link to a blog I wrote that contains more information on the latter option:

    @Jane Van Ingen - There is no cost to connect your RE NXT database to Power Automate; there is a minimal cost on the PA side as you'll need a premium license - non-profits can usually get these for $10/month per user.

    It doesn't look like there any membership APIs available yet (link to available APIs for RE NXT). There is a method that can be utilized to get exported data from DBV into Power Automate, it is more of a work around and less automated, but still possible. Check out the Microsoft Power Platform forum for more information, feel free to ask any questions you may have there as well.

    @Jane Van Ingen We recently implemented a welcome workflow for new donors. We did not like the results pulled by NXT coding of ‘new donor’ due to limitations on filters and records we wanted excluded.
    We are currently running new donor report in db view, I give it a quick review and save that report query. Staff member who does workflow then pulls query into NXT as a constituent list and then uses that list for the workflow.

    Just how we are doing a workaround.
