Tracking Multiple Grants within a Funder's Record

Hello, everyone! New to eTapestry and working on setting everything up. A big question my team is discussing is how to capture and manage a lot of grants from one entity. Specifically, we receive a lot of government funding - multiple grants from a single department every year. How have you handled this?


We are of two minds:

1. Create a master record for the government department and log each grant under that record by the solicitation or RFP name and project, OR

2. Create a record for each solicitation/RFP from that government department and log each grant project related to that RFP name to that record.


In scenario 1, I'm concerned about data getting overwhelming, confusing, or too cumbersome to comb through (for example, each RFP has it's own contact!). But for scenario 2, we come across the problem of another government department taking on the grant RFP, so we risk losing the connection/historical data in one record. 


What are your thoughts? Are there other ways to tackle this?

  • The best way to go might depend on how many grants you receive; ie is multiple 3-5ish or 10 or more? At any rate, we use option 1. Create a master record for the government department and log each grant under that record by the solicitation or RFP name and project, but we do not more than 3 grants in the same year from the same entity.
