Editing a contract after a parent signs

We are new to Enrollment Management this year and I am running into a few issues.

A parent has already signed the contract, but they would like to change their election to purchase tuition insurance. I deleted the contract and reissued it. However, the parent is still unable to make this change. This is a SMART tuition contract. I'm not sure what I can do next...help!

  • When we have a parent sign a contract so it is complete and it is integrated with SMART we then issue a non integrated contract for the change.
  • If no payments have been posted to their Smart account, then both the Smart account and enrollment contract may be deleted and you can start over by reissuing a contract and creating a new Smart account. However, if a payment has been applied to the Smart account, it cannot be deleted. You will have to issue a non-integrated contract.
  • Non-integrated is what I was going to suggest as well. Good luck!
  • While we ask families about electing tuition insurance when we give them the contract we don't bill for it until later. We make a 'last call' for tuition insurance in the summer ahead of enrollment and then adjust the billing at that time. We often have families that didn't elect it on the contract and are grateful for the second opportunity to opt-in and for those that did opt-in early, they have a chance to reconsider their option. The reason I share this is that we find that the tuition insurance is costly and in our experience families are unsure at the time of the contract if they really want/need it. We don't view their election to participate as contractual so if they change their minds later we don't change their contract which makes for a much smoother process. If I had to change the contract each time a family changed their tuition insurance option, I'd be changing so many it would be out of control. We view tuition insurance as something that is added value for those that want/need it so we don't want to make it complicated for them to participate.

    In your case, yes, if you've given them an integrated contract and you processed it and then later you want to change something on the contract you'd have to give them a non-integrated contract.
  • We don't use insurance but are new to Smart Tuition integration this year and experienced having to change several after they submitted. You not only have to delete it from Education Management, but also contact Smart Tuition and have them delete the update there as well. Usually that will correct it so they can re-do their contract. You do have to reassign the contract and generate it though.
