How to deal with NXT event registration fees landing on/as gift records

While this is related to events, IMO it's more about how to process/report so posting in general discussions.


Another team member created an NXT event registration. We have several issues with fields we need not available in NXT batches. So I will work with that to globally add that data but trying to figure out how to handle other issues created.


Does anyone have suggestions/workarounds as to how to deal with registration fees landing on/as gift records?


Procedure here for events has been that RE event batches are not committed and entered on daily financial log sheet. So nothing appears on gift tab. Now with NXT if we don't commit those batches we are going to end up with a long list of unapproved batches. I'm concerned we will miss actual donations as we transition more to using NXT. Is anyone else experiencing this?


The team member talked to support and was told the same thing I had said about fields like gift code not being available and that they (BB) considered event payments as gifts and they would hit gift records. So I've been trying to figure out how we will deal with this.
  • Revise procedures for daily financial log
  • Should we use benefits to bring receipt amount down to $0? (Don't know that they have done that here as event registrations were not committed.)
  • How do I add sufficient filters to exclude these event payments when looking at LTG, giving levels, etc.? Those reports tend to be on gift amount - change them to receipt amount if use benefits?
  • How do I exclude these when we are pulling data for asks and it pulls as latest fund and gift amount?
  • Am going to see if all events can have fund category of "Events." Not always a filter option but I'm thinking I could create query of those funds and use that query as an exclusion in some of the queries/reports I have to run.
Would love to hear how you are processing these and suggestions.

  • I don't have a specific answer to your question but we have bene having similar or related issues with managing registrations in RE NXT.


    Our main issue is not being able to reconcile the transactions between RE NXT and BBMA, as there is to Bank Transaction # pulled into RE that can be matched up to BBMA.


    To your question about recording registrations as gifts in RE, we deal with this with establishing a receipt amount that is les then the gift amount in the reg. form set up. But it may only work for us because there is at least always some part of the registration that is considered 'potentially' a tax deductible gift. So in RE the receipt amount is less then the gift amount, we give gift credit for the entire registration amount.


    Hopefully this helps and if you have any ideas on how to reconcile the BBMA and RE batches that would be great.
