The AFS Office of Institutional Advancement is responsible for outreach and relationship building with internal and external constituencies. Through general awareness activities including publications, online and social media communications, events and personal outreach, the Advancement Office helps to engage AFS constituencies to support the school through volunteerism and philanthropy.
Position Summary:
The Database and Advancement Services Manager reports to the Assistant Head of School for Institutional Advancement and oversees the daily operation of the Advancement database (Raiser’s Edge/NXT), which tracks gifts and biographical information of all AFS constituents and donors. Maintaining the database with the most currently available biographical and financial information is essential to the successful operation of the Development and Alumni programs. Statistical reporting, donor research and tracking are also essential aspects of this job. This position provides computer and prospect research support, as well as administrative support, to all members of the Advancement team (Alumni, Development, Marketing and Communications). This is a twelve-month position with hours from 8 a.m. to 4:30 p.m. Monday through Friday. Availability to work occasional nights and weekends.
Responsibilities:
The major responsibilities of the position include, but are not limited to:
- Oversee the daily operation of the Advancement database (Raiser’s Edge/NXT), which tracks gifts and biographical information of all AFS constituents and donors.
- Enter, track and acknowledge all gifts, prepare weekly reports to the Business Office.
- Reconcile accounts with the Business Office and prepare for annual audit.
- Maintain the database throughout the year by updating constituent records, address information and end of year turnover of records.
- Assist fundraising officers in producing materials for phonathons, acknowledgement letters, pledge reminders, special mailings, and the Annual Report.
- Utilize RE/NXT canned reports as well as the query and export functions to create custom reports/lists as needed by members of the Advancement team, including weekly/monthly status reports for the Fund for AFS and other campaigns.
- Prepare end of year lists and statistics to be distributed to other members of the community and outside organizations, including materials for the Annual Report and annual surveys.
- Assist in preparing for events (e.g., creating lists based on varying criteria, mailings, attendance tracking, nametags) and staffing as needed.
- Assist in training other team members to use development software. Provide computer support for the Advancement team when needed.
- Coordinate stewardship and correspondence for endowed funds.
- Conduct donor and prospect research.
- Maintain a stewardship calendar.
- Utilizing Chimpegration, create updated lists for new academic year. Run synchronization to update in coordination with Communications Director. Assist Division Administrative Assistants in resolving any issues with parent emails.
- Compile EITC and OSTC annual reports for the state. Work with Admission to determine eligible students for reporting.
- Assist other members in the office as needed for mailings, filing, ordering supplies, etc.
Preferred Qualifications:
- Familiarity with development software such as Blackbaud’s Raiser’s Edge/NXT
- Database management and reporting experience
- A minimum of five years professional experience or at least three years in a development office or membership-based organization
- Proficiency with the Microsoft Office suite of products
- Familiarity with MailChimp or other email marketing platforms
- Strong organizational, interpersonal and phone skills
- Adept at multitasking
- Enjoys working in a team environment
- A Bachelor’s degree
- Successful completion of state and federal clearances is a condition of employment.
