Setting up

Hi! When setting up BBSM did you leave the following fields blank? Did you include the first two rows and if so what information did you include?

  • We use two codes to identify 95% of our funds in our own records and in BBSM, and a third code for a small number so we used the slots for “fund code”, “auxiliary code” and “portfolio project ID”. Fund code was for the code used by our Advancement department, Auxiliary code was for the code used by Financial Aid to award, and Project ID was for about 20 scholarships that share the same fund code in Advancement as they are in a pooled fund for short term expendable scholarships in our system. I would not recommend having any “pooled” funds in BBSM. Having the same codes did not cause FinAid any problem in the awarding side as they don't specifically track the balance of these funds, they just award whatever spend budget is entered. For me, however, this caused major headaches. BBSM could not keep the funds separate when the only difference between them was this “portfolio project ID”. I had multiple funds with incorrect donors, or more than one donor as they got all muddled together. I am going to have to find a way to rename them with individual fund codes in BBSM - which I will need to note any time I upload a financial report. haven't quite figured it out yet :)
