Associate Director, Development Services

The Associate Director, Development Services is a key member of the Development Services team in the Development Office at the Massachusetts General Hospital. Partnering with the Senior Director, the Associate Director is charged with identifying and implementing opportunities to enhance and streamline processes, ensure quality standards in charitable gift processing operations, and foster an equitable and collaborative team environment. The Associate Director will manage 4 team members, serve as a resource on gift administration issues to colleagues across the department, and participate in system-wide efforts to adopt best practices for gift administration.

The ideal candidate will bring experience in managing a diverse team, excellent project management skills and strong working knowledge of relational databases. We are looking for someone who is highly organized, resourceful, collegial, collaborative and professional, with excellent attention to detail. This role requires excellent communication skills and the ability to interact and collaborate with diverse audiences within and outside the department.

Primary Responsibilities

  • Oversee the processing and recording of gifts, with focus on high volume gift activity including online, lockbox and non-priority cash/check gifts, in collaboration with Gift Officers, Finance and other MGH and MGB staff
  • Ensure the documentation of MGH gift administration policies and practices, including processing and receipting procedures to ensure adherence to state and federal policies, regulations and laws concerning charitable gifts
  • Oversee the gift adjustment process, including global changes, revenue update batches (CRM) and reporting of adjustment activity for various stakeholders
  • Manage the matching gift program, including implementing automated processes and developing strategies for building the program and increasing revenue
  • Assist in the monthly reconciliation and close process through collaborations with MGB Development and Finance
  • Collaborate with other Development teams, including Information Management, on business process analysis. Play a leadership role in process improvement initiatives and system upgrades/migrations
  • In partnership with the Senior Director, develop and implement process improvements to streamline operations and introduce efficiencies
  • Handle inquiries from colleagues and donors on matters related to gift processing and accounting of philanthropic revenue
  • Provide active management and leadership to direct reports, ensuring accurate and timely gift processing and the delivery of exemplary customer service. Conduct annual performance evaluations and support career development
  • Be apprised of current issues and trends in the field
  • Participate in professional development, including taking advantage of shadowing opportunities when appropriate
  • Prepare and regularly update progress reports
  • Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods
  • Assist with recruitment activities as needed
  • Take on other office-wide duties at the request of Development leadership
  • Adhere to the mission, credo, and standards of behavior of Mass General Hospital

Qualifications

This position requires 5-7 years of experience and a Bachelor’s degree.

In addition, the ideal candidate will possess the following skills, abilities and attitudes:

  • Strong organizational skills and ability to juggle multiple priorities
  • Excellent attention to detail and good follow-through skills
  • Strong commitment to quality work and customer service
  • Ability to take initiative and work independently
  • Experience with relational databases, report writing, Blackbaud CRM or other donor information systems packages preferred
  • Proficiency in MS Word, MS Outlook, MS PowerPoint, MS Excel and Internet. Familiarity and experience with the operations and programs of Development Services preferred.
