Development Coordinator at The Florida Aquarium (Tampa, FL)

Position Summary

This position provides overall business support to the Development team in a variety of categories including administrative duties, data entry management, maintenance of donor records, assisting with donor inquiries, and completing prospect research.

Essential Position Functions

  • Provide administrative support for the Development team including calendar and meeting management, drafting letters, data entry management, organizing spreadsheets, purchasing of office and other supplies, manage calendars and complex schedules, meeting coordination, filing, and internal coordination of mailings.
  • Manage the Development Department’s expenses and recordings against the annual fiscal budget.
  • Prepare correspondence and complete relevant paperwork for gift acknowledgments and pledge billing in a timely manner.
  • Maintain accurate donor records, assuring that all updates concerning foundation, corporate, and individual donors are recorded in Altru; record relationships and connections. Will be responsible for input of Chief Development Officer’s donor interactions and plans; will serve as backup support for other development team members.
  • Assign, enter, monitor, and reconcile all onsite gifts into database in a timely manner.
  • Provide assistance with direct mail campaigns, including postage, building the donation landing pages associated with specific campaigns, customizing acknowledgements, and assisting with follow-up communications.
  • Manage symbolic animal adoption program including procuring materials, fulfilling adoptions, and acknowledging contributions.
  • Coordinate Sea of Support logistics from point of purchase to installation.
  • Assist in the coordination of pre-event logistics for Donor Snow Days, SIPS with the CEO, and other donor events, including event registration, pre-event communications, attendee lists, nametags, donor gifts, etc.
  • Manage the Aquarium’s ticket donation program by reviewing incoming requests, contacting requestors as needed, and distributing ticket donations as appropriate.
  • Assist the Development team in reaching annual fundraising goals.
  • Provide a weekly report to the Chief Development Officer that includes status of active projects, programs, prospects, proposals, etc.
  • Works respectfully, effectively, and efficiently with departmental colleagues and cross-departmental staff and management.
  • Delivers extraordinary customer service to all Aquarium guests and internal customers.
  • Performs other duties as assigned or required.

Education, Knowledge, Abilities, and Technical Skills

  • Bachelors degree preferred.
  • Experience in Development a plus.
  • Excellent interpersonal and writing skills.
  • Knowledge of Microsoft Office software (Word, Excel, Power Point, Access, Scheduler, Mail).
  • Knowledge of fundraising database programs a plus, preferably Altru.
  • Passion for the work and mission of the Aquarium.
