American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. The campus has 42 buildings on two sites approximately 1/2 mile apart with a total of approximately 660,000 gross square feet. Included in the inventory of buildings are student residences for a resident population of 900 students. Founded in 1885, the College has approximately 3200 graduate and undergraduate students. Job Description:
- Provide oversight and direction for database organization and management, data accuracy and integrity, and data security for the Raiser's Edge (RE) NXT platform, the primary and confidential database of record for all AIC constituent biographical and giving information. Implement shared objectives surrounding the strategic and consistent expansion of constituent data including wealth screening and predictive modeling ratings, student activities and affiliations, and on- and off-campus engagement. Work with college partners in data uploads including those for new graduates and eliminating duplicate records for multiple degree holders in the process.
- Design, document, and produce queries and reports that directly, accurately, and systematically support fundraising and constituent engagement program planning, implementation, outcomes, and evaluation. These outputs would include segmented mailing, invitation, and appeal lists as well as alumni and donor characteristic and activity reports. Select, prepare, and quality check data for solicitations, pledge reminders, and recurring gifts. Serve as the primary liaison between institutional advancement and finance in gift crediting/accounting, fund creation and management, and monthly, calendar year-end, and fiscal year-end reconciliations. Serve as a comparable liaison between institutional advancement and athletics. Prepare and validate data for AIC submissions to U.S. News & World Report rankings, CASE/VSE surveys, and other surveys and college requests as needed.
- Coordinate the evaluation, selection, and implementation of partnerships with third-party resources to provide for the continuous validation and augmentation of constituent contact information and employment data sets and the integration of external platforms and services for online solicitations, event registrations, and virtual donor recognition. Serve as the primary liaison with Blackbaud in support of the utilization and maximization of RE/NXT. Maintain currency on existing and emerging resources and applications for RE/NXT. Coordinate RE/NXT maintenance, upgrades, and database access for internal colleagues with IT partners.
- Ensure compliance with fundraising policies, goals, and charitable giving/IRS regulations. Develop and maintain documentation on database and data entry standards, definitions, and practices as well as a data dictionary and data dashboard. Conduct training for new institutional advancement staff and refresher training for existing institutional advancement staff. Provide for active and transparent tracking and management of all data and database projects through project management tools such as Trello.
- Supervise the gift entry and donor records specialist as a partner in supporting various projects as delineated above and provide oversight for the preparation and distribution of appropriately segmented and individualized donor acknowledgment letters and receipts. Ensure two- to three-business day turnaround for initial donor acknowledgments/receipts.
- Participate fully as a member of the institutional advancement staff in providing support and assistance as assigned for special projects, events, and activities including homecoming, golf tournaments, and on-campus alumni events, among others.

Requirements:
- Required Degree(s): Bachelor's Degree
- Required Field of Expertise: Minimum four years' experience with CRMs and database administration and management
- Preferred Field of Expertise: Advancement/development services. Experience with nonprofit organizations and/or higher education institutions preferred.
- Preferred Training/Cert: Ongoing professional development in database management, database applications, systems analytics, and best practices
Knowledge/Skills/Abilities
- Proficiency with Microsoft Office Suite; Knowledge of Raiser's Edge and/or comparable CRM platforms preferred
- Solid organizational skills: the ability to work productively in a collaborative work environment and to independently manage multiple priorities and either meet or re-negotiate deadlines in a timely and proactive manner
- Accuracy and attention to detail essential; attunement to data and constituent confidentiality and appropriate internal and external discretion at all times
- Ability to identify and implement strategies to increase database efficiencies and the appropriate integration of relevant and innovative current and emerging best practices
- Commitment to the development of end-user competencies in requesting and understanding data and to communications on the status of deliverables to institutional advancement colleagues as well as internal partners and external volunteers
- Proven ability to anticipate, plan, prioritize, and manage a variety of tasks and projects; capacity to problem solve as well as problem state
- Must be able to work within a diverse environment
Work Schedule
This is a full-time, twelve-month, exempt-level, benefits eligible position. Normal office hours are 8:30 a.m. to 4:30 p.m., flexible to the needs of the department, and will require evening and weekend work.
