Development Associate

POSITION OVERVIEW

The Development Associate supports the Senior Vice President Advancement and Director of Development as a high-level executive assistant, as well as serving as the general office manager & admin support for the department. The Development Associate will work with the entire development team on special projects as needs arise. This position is a full-time non-exempt position.

GENERAL DUTIES

The Development Associate reports to the Director of Development (DOD) but supports the Senior Vice President Advancement (SVPA) and DOD. The primary objectives of the Development Associate are to: support the Senior Vice President Advancement and Director of Development as a high-level executive assistant, serve as general office manager and admin assistant for the team, lead proposal and briefing creation and dissemination, managing the calendar for the entire staff, coordinating appointments, and more.

SUPPORT FOR THE SENIOR VICE PRESIDENT ADVANCEMENT AND DIRECTOR OF DEVELOPMENT

  • Acts as Executive Assistant to the Senior Vice President Advancement (SVPA) and Director of Development (DOD)
  • Provides clerical support including calendaring, scheduling, setting up meetings, writing and filing contact reports, sending emails, letters, etc, for the SVPA and DOD
  • Takes a lead role, working with the SVPA and DOD, in creating proposals and briefings for major donors, the President and as directed
  • Working with the SVPA, assists with board development, principal and major gifts, and coordinating schedules with the President

OFFICE MANAGEMENT AND STAFF/DEPARTMENT SUPPORT

  • Tracking individual and department expenses, reimbursements, accounts payable
  • May field phone calls, emails, and greet visitors
  • Helping arrange meetings, teleconferences, taking minutes
  • Work on various data entry and database tasks, with the Development Services Associate, as needed and depending on work volume/time of year
  • Working with the DOD, assist in planned giving and major gifts data entry, mailings, research, and proposal creation, as well as setting appointments/visits for the DOD as requested
  • Working with the Foundation Relations Manager as needed, to track/send proposals, correspondence, etc related to grants
  • Supports Annual Giving efforts as needed to implement IAF's special events, including but not limited to online and in person gatherings; creating and managing timelines and checklists, arranging logistical needs, contacting guests, and staffing events; provide assistance with email, direct mail, and social media appeals
  • Assist with alumni and parent initiatives as needed



MINIMUM QUALIFICATIONS

Education/Experience

  • Bachelor's degree;
  • 3+ years of administrative experience, non-profit development experience strongly preferred
  • Intermediate to advanced Microsoft Office Suite computer skill
  • Experience working with executives, volunteers, and board members
  • Experience/ability to learn google mail, calendar, and drive, experience with or ability to learn CRM database operations (Raisers Edge)
  • Experience/ability to learn Adobe products (Photoshop, Illustrator, Acrobat, etc)

OTHER REQUIREMENTS

This position will be based in Idyllwild, CA

Obtain and maintain a valid California Driver License, pass a criminal history background check as required by California Education Code Section 44237, and pass a TB screening questionnaire/test.

PHYSICAL DEMANDS/WORK ENVIRONMENT

While performing the duties of this position an incumbent is required to:

  • Regularly remain sedentary for long periods of time in meetings and while processing information and paperwork both manually and on a computer.
  • Specific vision abilities include close, distance, and color vision perception and the ability to adjust eye focus. Reaching with the hands and arms and use of hands to finger, type, and manipulate a computer keyboard and mouse is required.
  • Additionally, the incumbent must be able to converse in clear English both written and orally, over a telephone and in person, and be able to make public presentations.
  • Work hours vary and may include days, nights, and weekends.
