Job Summary:
The Assistant Director of Development Systems plays an integral role in driving all forms of giving to new heights, strategically overseeing and ensuring the accuracy and integrity of financial and constituent data within the central constituent database, Raiser’s Edge. This position reports to the Director of Development Systems & Gift Management.
The Assistant Director is responsible for all aspects of gift processing operations, including all processes related to gift and pledge entry, daily reconciliation gift summaries, and generating reports for both internal and external groups. He/she will also ensure the database and integrations effectively capture data and generate accurate information.
Responsibilities:
Gift Management:
Serve as a Development expert on gift management, and address issues and questions related to gift management and processing.
Ensure that all gift management policies and procedures are followed effectively. Identify ways to influence and drive improvements to efficiency, processes and procedures and make recommendations accordingly.
Create reports for Financial & Administration for import and reconciling, including generating post file.
Create, configure, and accurately run import profiles using ImportOmatic to import donations.
Coordinate with the Grants Office to ensure booking of non-governmental grants in Raiser’s Edge, reviewing each Grants Status report produced by the Grants Office.
Maintain thorough knowledge of all gift-related federal/state rules/regulations to ensure compliance and bring any compliance issues to the attention of the Director of Development Systems and Gift Processing. Stay up-to-date on legal or other related changes impacting charitable donations and make recommendations for compliance.
Oversee and maintain gift related data and documentation, including transaction records, donor agreements, and other gift-related records. Ensure the appropriate storage and archiving for gift related records.
Gift Processing:
Oversee, direct and maintain all aspects of gift processing operations including, but not limited to, cash, check and credit card payments; stock transfers; wires; pledges; payroll gifts; and gift-in-kind donations.
Complete batch processing from summary log, all net community gifts, and pledges from miscellaneous sources. Research and review all summary logs for incomplete information before recording.
Lead bank/brokerage account management, outstanding pledge management, fund management, stale funds review and annual audit support.
Review, analyze, and reconcile daily gifts and other receivables. Review daily gift entry, and evaluate information to ensure gifts are recorded appropriately. Identify problems that arise in recording transactions, and collaborate with internal and external partners to find solutions.
Monitor and verify requirements of pledges. Maintain accurate records to support pledges.
Oversee pledge reminder efforts and mailings. Ensure ongoing maintenance of pledge related data to support pledge reminders. Coordinate as needed with fundraisers on the production of recurring pledge reminder communications. Provide up-to-date pledge schedule data to support multi-year pledge revenue forecasting.
Oversee all gift adjustments including pledge installment schedules and return check adjustments and correspondence. Prepare budget adjustments when required for operating needs gifts.
Prepare and oversee daily bank deposits for remote process.
Process daily close out queries and posting process and reconcile to summary log cash gifts.
Data Management:
Serve as a subject matter expert on the Development CRM for the Office of Development to support strategic initiatives and define requirements. Support the development of table, screens and processes as needed to facilitate functionality and flexibility of the database.
With the Director of Development Systems & Gift Management and the Director of Data Infrastructure Administration & Analytics, oversee and maintain integrations with current CRM systems and applications. Integrate and monitor 3rd party applications for changes/upgrades which may impact the CRM and take the appropriate action. Cross-train with the Director of Data Infrastructure Administration & Analytics on changes/updates from Raiser’s Edge and related applications.
Work closely with the Director of Development Systems & Gift Management, the Director of Data Infrastructure Administration & Analytics, and the AVP of Strategic Development Operations and/or ITS on the evaluation and adoption of new technology tools to support the Office of Development.
Assist with database training for Development and campus users.
Assist with implementing global data changes and imports, as well as batch uploads, exports; and updates of data. Execute requests for ad hoc import profile creation for integration requests.
Coordinate with the Director of Development Systems & Gift Management and various cross-campus partners to import large quantities of complex data into Raiser's Edge and/or other solutions as deemed necessary.
Aid and support the Development Systems team in moving to a self-service environment, including establishing dashboards and reports.
Data Integrity:
Serve as a “power user” of Raiser’s Edge, and demonstrate expert knowledge of the system via the creation of queries, exports and reports.
Plan implement, and supervise the collection, entry, updating, output, and usage of all demographic, financial, background, and relationship information on all constituents.
With the Director of Development Systems & Gift Management, establish a comprehensive data integrity plan by identifying areas within the fundraising infrastructure where data cleaning and normalization are needed, and create a strategic plan for data integrity execution. Partner with the Assistant Director of Prospect Management to ensure that prospect management data integrity efforts align and are supported as part of the overall data integrity plan.
Lead database clean-up efforts and work with Development staff to maintain accurate consistent records. Establish and execute an annual data clean-up schedule. Design and produce regular and ad-hoc auditing reports as needed to support data integrity review and management. Perform regular data verification report and audits.
Provide Development staff recommendation and counsel for sound maintenance of consistent data in the current/future CRM. Collaborate with staff to clean up inconsistencies and errors, as well as data maintenance solutions. Manage and implement a data request policy and data request forms for Development staff.
Ensure that financial data integrity efforts align and are supported as part of the overall data integrity plan.
Lead regular financial data clean-up efforts and work with Development staff to maintain accurate financial data. Design and produce regular and ad-hoc auditing reports as needed to support data integrity review and management. Perform regular data verification reports and audits.
Assist the Development Systems team with regular database clean-up efforts and work with Development staff to maintain accurate constituent records. Collaborate with the staff to clean up inconsistencies and errors, as well as data maintenance solutions.
Act as a secondary liaison to the Finance & Administration department, helping maintain consistency of information between RE and the general ledger. Assist the Finance & Administration department with their annual audit.
Assist Development staff with reviewing and auditing gift transactions for accuracy.
Other Responsibilities:
Ensure gift processing cross-training of Development Systems team members to prevent delays and accommodate peak seasons. Serve as a back-up resource for Development Systems teammates in times of absence and when needed.
Demonstrate expert knowledge and use of Raiser’s Edge, and assist with pulling lists, queries and data entry as needed.
Collaborate with Development leadership and staff to ensure effective use and maximization of Raiser’s Edge gift processing data.
Participate in office and division staff meetings. Attend meetings on behalf of the Director of Development Systems and Gift Management as needed.
Adhere to the ethical and confidentiality guidelines of the Development Office and CASE. Maintain a high degree of confidentiality and responsibility regarding information related to University business and confidential constituent data.

Education/Skill Requirements:
Bachelor’s degree required. One year of relevant experience may be substituted for each year of required education.
Minimum of five years’ experience in financial administration, database management or gift management using Raiser's Edge or comparable fundraising software required (Raiser's Edge certification a plus). Demonstrated experience creating gift summary reports required. Proficiency in Microsoft Word, Outlook, Excel, and Access.
