Position Summary:

The Development Associate (DA) plays a vital role in Habitat for Humanity East Bay/Silicon Valley (HESBV) development programs and is responsible for constituent information management, gift processing, and donor stewardship. The DA will ensure accurate recordkeeping in HEBSV’s Raiser’s Edge donor database and will oversee a team of data entry volunteers. The DA will also implement effective donor cultivation through points of entry, such as events, volunteer opportunities, etc. as well as ongoing donor support.

Essential Duties and Responsibilities:

Gift Processing/Database Management (75%)

  • Enter and code all donations (mail, web, event, in-kind, vehicle, etc.) and generate thank you letters. Ensure that donors are acknowledged in a timely, effective, appropriate, and consistent methods through donor stewardship best practices.
  • Conduct donor gift processing from all sources, such as, checks, online and electronic donations, and gift batch imports and act as the liaison for donation payment vendors such as Habitat for Humanity International (HFHI), Benevity, Bright Funds, Blackbaud Merchant Services, Fidelity, etc.
  • Generate and submit necessary reporting to Senior Management Team, HFHI, and other HEBSV teams. Produce other data-related reports as requested including mailing and email lists, constituent & transaction files, etc.
  • Record volunteer and event attendee contact information and hours.
  • Directly train and manage office development volunteers, seasonal temporary workers and if applicable, AmeriCorps members, on weekly gift batches, volunteer/event time sheets, mailings, and other projects.
  • Process requests to remove contact information from mailing lists etc. and update donor information as needed.
  • Maintain and improve the integrity of HEBSV’s donor data through remediation projects and by performing periodic maintenance to ensure that data is up-to-date and lacking duplicate records.
  • Work with other department peers to ensure accurate record keeping of corporate, faith, foundation, and youth accounts.
  • Interface with finance department and perform monthly and annual reconciliations to ensure accurate record keeping between both departments. Assist finance with documentation needed for annual audit.
  • Assist DDSM in implementing necessary global changes and imports to the database.
  • Assist DDSM to institutionalize all database protocols through continual revisions to database manuals and written documents.
  • Coordinate with DDSM on importing wealth scoring information from Blackbaud Research Point and other prospect research/wealth screening tools.

Donor Cultivation and Stewardship (25%)

  • Write and update acknowledgement letters with pertinent information of current HEBSV projects that reflects the messaging of other communications (direct mail, e-news, etc.)
  • Respond to donor inquiries concerning tax receipts and questions.
  • Ensure new and returning donors receive welcome informational e-mail/letter.
  • Develop strategies to cultivate volunteers, event attendees, and other constituent to increase likelihood of donor conversion.
  • Support tabling and informational events when needed.
  • Support Individual Giving Team donor cultivation priorities by assisting in donor events, mailings, phone calls, etc. as needed.
  • When needed, contact donors for clarity on donation to ensure proper processing and data application.

General Activities:

  • Work in a team environment on department activities and initiatives with a positive attitude.
  • Support HEBSV events (Build-A-Thon, informational activities, fundraising events, etc.) that could be used as tools to cultivate major donors and donor prospects.
  • Assist with outreach and speaking engagements on behalf of the HEBSV. Attend and assist with organizational events.
  • Answer phone calls from the public about donations and donor inquiries.
  • Effectively manage HEBSV’s resources, appropriately leveraging technology and the office environment to maximize work output during business hours.

Position Requirements:

  • Two or more years of work experience in an office environment. Nonprofit background preferred.
  • Excellent analytical and problem-solving skills.
  • Exceptional organizational skills with a meticulous attention to detail and accuracy.
  • High‐level computer literacy skills. Experience with a donor database a must, ideally Raiser’s Edge.
  • Excellent written and oral communications skills.
  • Strong team player who also works well independently.
  • The capacity to develop and maintain positive and productive relationships with donors, volunteers, vendors, Board of Directors, and staff.
  • Commitment to affordable housing and to HEBSV's mission.
  • Full-time, non-exempt. Must be able to work on site at the Oakland office. While the Oakland office remains closed to the public, up to 3 remote days per week possible. Some weekday evenings and weekends required.
  • Ability to commute between Oakland and Milpitas offices or sites as needed.
  • Must be available and willing to work the last week of December/first week of January annually in person to support calendar year end giving and gift processing. And similarly, the last week of June/first week of July annually to support fiscal year end giving and gift processing.

$26-$30 per hour
