Critical Issue with Reviews

Hello!

Our university opens applications from December 1 - February 7th. We run cycle management for applications in late October/early November. We don't archive opportunities until the end of the fiscal year, because we need to make changes to awards throughout the academic year. This means we have opportunities for two aid years open simultaneously. It's worked well for us BUT we are having major issues with reviews.

In BAM, you can't preserve reviews unless the opportunity is archived. If you archive a review group before the associated opportunities are archived, you lose reviews. This is messy for most scenarios, but workable. However, we have some groups that review on a conditional level. There is no way to preserve those reviews because the conditional application undergoes cycle management before the opportunities can be archived.

We are losing reviews for an entire college, for an entire cycle due to this issue. Support has said there is nothing that can be done. I'm wondering if any other users have found ways around this? We may need to find a way to download all reviews prior to cycle management but that defeats the purpose of having a system that is meant to archive and preserve records.

If your university has found a work-around for this, please let me know!

@Lindley Davis I wish I had an answer however I am in the same boat. It is very frustrating. I also do not want to download and save externally when the information is and should be in the system.

I'm sorry you're experiencing this too! I'm submitted an Enhancement Request and hoping it will get some traction. I'm ever amazed at things like this that are fundamental to scholarship offices but aren't thought through in the system!

Perhaps someone else will have an answer for us!
