Advancement Coordinator

FLSA Status:     Non-exempt (hourly)
Schedule:          Part-time (50% FTE, 20 hours/week) - Hybrid flexibility available
Reports to:        Associate Director of Annual Campaigns & Grants

About the role:

We're looking for an Advancement Coordinator to be the engine behind our fundraising operations.  This is a part-time, hybrid-friendly position at the heart of a collaborative, mission-driven team - and we're flexible on schedule for the right person.  Please do note that occasional on-site presence will be required for events, which may fall on evenings or weekends and would be communicated in advance.

You'll own the school's donor database, manage gift processing and acknowledgment, support major fundraising campaigns, and help ensure donors feel genuinely valued.  This role pairs meaningful work with real flexibility - a rare find.

Who you are:

You are a reliable, detail-oriented professional with a positive, can-do attitude and a natural ability to build strong relationships.  You bring both strong administrative execution and a people-first approach, making donors, volunteers, and colleagues feel valued and supported.   Highly organized and an effective communicator, you manage multiple priorities with accuracy, discretion, and efficiency.  You thrive in a dynamic environment, adapt as priorities shift, and handle interruptions with patience and professionalism.  You collaborate with others, contribute to a positive team culture, and approach your work with accountability, sound judgment, and a solution-oriented mindset.

You will be kept busy with:

  • Managing and maintaining the school's donor database, ensuring confidentiality, accuracy and completeness of donor records.
  • Processing gifts and donations in a timely manner, including gift acknowledgment and donor recognition.
  • Generating and distributing regular reports on fundraising progress, donor trends, and campaign results to inform decision-making.
  • Providing administrative support for fundraising meetings and events, including calendaring, scheduling space, logistics coordination, and communication with guests and vendors.
  • Assisting in donor stewardship activities, including communication, recognition, and engagement efforts to cultivate lasting relationships with supporters.
  • Supporting the creation of fundraising materials, communications, and appeals to engage donors and enhance fundraising efforts.
  • Support with managing the Advancement team budget, keeping track of all expenses in a timely manner.
  • Reviewing and managing monthly credit card expenses using the Concur system.
  • Additional duties and projects as assigned.

Schedule & Working Conditions:

You will work a part-time schedule, year-round during business hours Monday through Friday, 7:30am - 5:30pm as determined in collaboration with your supervisor.  There may be times when you will be required to work outside of these hours for events and programs.
The role operates in a typical school environment that may be busy and occasionally noisy.  It requires the ability to sit, stand, walk, and perform general office tasks, as well as the occasional physical activity such as lifting or moving materials (up to 50 lbs).

Qualifications:

Education & Experience

  • Bachelor's degree in a relevant field or 2-4 years of equivalent experience.
  • Experience in database management in a non-profit setting, experience in Raiser's Edge preferred.
  • Strong organizational skills and attention to detail to ensure accurate record-keeping and reporting.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with donors, volunteers, and colleagues
  • Proficiency in fundraising software and Microsoft Office suite (Word, Excel, PowerPoint).
  • Knowledge of fundraising best practices and principles in the context of an educational institution is a plus.

What we can offer you:

We prioritize a working environment where team members respect and support one another.  You’ll find yourself surrounded by colleagues who value collaboration and foster a positive work environment.

We understand the importance of recognizing your contributions, which is why we offer competitive compensation packages.  In addition to your pay, you’ll enjoy perks like free kosher lunches, ensuring you have nourishment to fuel your day.

We prioritize work/life balance by providing paid time off for holidays, sick days, and vacation.  We believe in supporting your well-being both inside and outside of work.  As a valued member of our team, you’ll have access to a comprehensive benefits package that includes: medical, dental, vision, flexible spending accounts (FSAs), mental health support, EAP (Employee Assistance Program), and group and voluntary life insurance plans.

Planning for your future is important, which is why we offer a 401(k) retirement plan with pre- and post-tax deferral options as well as employer matching contributions.

Compensation:

The anticipated range for this position is $26 to $30 per hour.  The offer to a successful candidate will be dependent on several factors that may include but are not limited to: the type and years of experience; training; practical knowledge; and education.

If this sounds like a great match, we’d like to hear from you!
