RE NXT Database - Batch Soft Credits
Hi Everyone. Newbie here and needing some help. Not sure if I'm missing something but having a hard time seeing in the batch process which donors I have applied soft credits to and which ones I haven't. We use soft credits a lot and we seem to miss doing some from time to time. Is there a way on the batch data entry screen that you can tell at a glance?

It isn't obvious in either database view or in webview, unfortunately. You would need to look at each gift specifically to see if there is a soft credit applied.

I know in my previous position I had this function - we were self-hosted RE. In my batches, anyone that had a SC would be in italic. I can't see it now or find where to set it (now NXT hosted). Was set in Colors > Legend > Gift I thought. Can't get that to function now for batch at all.
Anyone else remember using that option?3 -
In database view I have my gift records set up as JoAnn says, bold, color coded, italics (we are hosted). When I look in NXT in a record- Giving history then click Work with gifts, it shows Soft credit one-time gift in the gift type.0

Ah - JoAnn Strommen you are right! You can use Legend to color code gifts in batches! It worked in my database view instance just now, which is hosted so is the most recent version. Right-click anywhere in the "grid" of a data entry screen and the shortcut menu who show Legend. You can change the text to be displayed in a different color, in italics or bold, if the gift is linked to an event, has a soft credit, etc. You do have to be thoughtful of the hierarchy you set in legend, just like any color-coded area on a constituent record. If a gift is linked to an event AND has soft credits, it will apply the setting for the first criteria that was met.
Thank you for the reminder on this!!

In database view yes you can set gifts up to look differently in NXT. Right click on your mouse and you can select legends or columns. However I was talking about during the database entry and I take it the answer there is no...... That is what I was afraid of - thank you!

This is one of the areas in the database that someone long before me decided to add soft credits in the reference field. We have been on RE since 1988 so there is a chance this is how it was originally set up and they never stopped the practice when the soft credit tab was introduced. Several times I have thought to end the redundancy but it continues to serve us well. Our gift entry people also forget on occasion to handle the soft crediting properly but most of the time it is at least one place. We have queries we run weekly (prior to acknowledgements) to look for issues. It catches most issues but not a huge help if there are multiple parties being soft credited. To allow the queries to find issues in the reference field we preface this info with "sc:" so it would be sc: Last, first ID#. We also use the legend in the database view to set soft credits off - we use aqua and bold. When in the web view when you work with more gifts you can see the reference "comments" so this is a bit of redundancy that we plan to hold on to.
This reference addition is added in the batch view so there is a place to verify it has been added.
I hope this is helpful.0 -
Oh I may have replied too quick. Thank you - I will try it in the batch process and see if that works. That would be great!!!
Thank you, thank you all!0 -
Thank you Karen Diener . That's exactly what I was looking for. Got color/font legend set for batch now too.
Paula Best did you get it set in batch? Loved this feature when used it before. Eliminates so much double-checking.1 -
JoAnn Strommen I never noticed before and didn't even really see that in your response - That is great thank you! Love this community

In order for us to quickly see which gifts on a record are soft credits, we changed the display colour, but also, in the suffix field we added "-- SC" which displays after each gift type that is a soft credit. Helps when I have to export and sort on gift type. Apologies if this duplicated part of someone's answer above!
Does anyone know if it's possible for an Administrator to make these legend changes for all, such that all fundraisers would see in a consistent way, instead of having each fundraiser make the change?
Thank you!0
