Embedding General Detail Capture Forms Online

Hi,

I am based in the UK and I am looking for a way to automate the entry of data we capture from our website - mainly for appeal registrations or newsletters - i.e. things which capture constituent details without requiring them to purchase anything or donate.

I have been playing around with Online Express and whilst I have gotten to grips with creating the donate forms, I can't seem to generate just a standard online enquiry capture.

To give you the practical scenario as is…

  • We launch a new appeal (e.g. cycle 500 miles in a month) and encourage people to sign-up via the website.
  • People sign-up on our site and a registration email is then sent to the central inbox with all the details.
  • Someone on the team manually types the details in and manually sends an acknowledgement…

What I'm trying to achieve is:

  • We launch a new appeal (e.g. cycle 500 miles in a month) and encourage people to sign-up via the website.
  • People sign-up on our site and the details are automatically captured in Raiser's Edge with a merged acknowledgement e-mail automatically sent from Raiser's Edge with no manual entry from the team.
  • The team then have dashboard visibility of registrations per appeal to allow them to focus on conversion and increased fundraising, rather than typing stuff in everywhere.


I know I can automate responses from the website, but that's just a halfway house with no real system driven input or output. This seems like such a standard thing in 2021?

Does anyone have any experience in achieving this at all?

    This sounds a lot like how event bookings work when you have free tickets.

  • Thanks Rachel, yes, I believe so, but I think the challenge that then presents is that all attributes etc. are associated with an event rather than a constituent or appeal. So, it does solve the problem of getting a form completed and automatically into RE, but it brings it into a place which is not where we need it to be for reporting and visibility etc.


    I would love to be incorrect on the above!

    Hmm yes, the attributes would then be on the participant rather than directly on the constituent.

    It's this part of the process that's the tricky part - would doing a regular import of that data into the constituent record work?
