Email/account for username

I am just getting started with using EMS and I do not really understand what I need to do with the Email/account for username when processing my inquires.

We receive inquiries in a few different ways and the email information for the student is not always one of the first things we receive. One of the ways we receive an inquiry if from an Agent/Consultant. At first I used the Agent email, but now I cannot process the inquiry because I already used the agent email as their login.

My school was using Education Edge (EE) prior to using Enrollment Management System (EMS) and EE created a student ID number that we used for identification. EMS does not create an ID number until after the student inquiry has been processed.

Any suggestions on an easy way to create a username when an email is not available?

    @Jeannine Cloutier With Blackbaud ID, all usernames must be unique email addresses. You need the email addresses if they are to log in.

    (You can add people to the database who don't login. For example, some relatives might be emergency contacts who never need to log in. Since they don't need a username, they don't need a unique email address.)

  • @Jeannine Cloutier I'm not sure I understand the situation. Are you manually creating records in EMS for individuals who simply inquire about your school via, for example, a card they fill out at a fair?

  • @Jeannine Cloutier We have an internal inquiry form I use to manually add an inquiry into the system but need one parent email address for that. We also have an inquiry form that feeds directly into the system on our website. We only require one parent email on that inquiry form. If the student wants to do the application, I add that email address and invite the student to login. If you are adding students manually with a consultant, maybe you can manually add them at the consultant contact card? I am not sure about that. just a thought.
