Notifying coaches of candidate interest

Our administration is wanting a way to involve (record and notify) coaches or fine arts teachers of a candidates in a particular sport or extracurricular activity.  I can see that there are a few options that might work.  Im wondering if anyone has  come up with a good workable process.  Here are my thoughts:


Here is what they are asking for.......  To record a need to reach out to a candidate that there is a specific interest in a sport or activity and to notify a coach/teacher that there is a candidate to contact.  Be able to makes notes of the conversation or that an attempt was made.  Be able to view the candidates general information on applicant record.
  • Checklist Step - Will assign to one individual but we would have to add all our coaches to admissions and that is not feasible.  
  • Official Notes - Cant assign an official note to 1 person but might be able to make it work partway.
  • Committee Review - Another option im looking at but still want to only have 1 person or maybe 2 people assigned to the task.  
We would like to (other than sending an email outside of ON) to assign a followup task to someone outside of admission that there is a "potential" athletic candidate that they need to reach out to.  These cant all be admissions members because some of them aren't school employees at all. 


How are you doing this in the ON system????????

  • We do it outside the ON system -- the old way, by paper....when prospective candidates come to take the entrance exam (8 months before they would official begin school in August), they complete an "interest survey" that includes their potential interest and previous experience in sports and other school activities we have on our campus.  The sports information is disseminated to our Athletics Office for use if they do become students (not allowed to do any sports recruiting prior to their registration as students) and the entire interest survey is forwarded to their guidance counselor for use in their first meetings with the Guidance Office.
  • We've made committees. Since it is our first year we had to make the exact same committees for this year and next year to add candidates for next year. Don't forget to add the role to the user. It will show up on their Faculty persona.

  • We collect the interests on the application. Then have one coach that also assists with tours for the students interested in athletics. 

    Then on the checklist, I created two steps where he can add notes for the rest of the admissions team.Screen Shot 2020-12-03 at 10.09.46 AM.png
