Nagging problem of duplicating notes/actions to two relationally linked records

It has been a nagging issue for our fundraisers when they have to duplicate the actions/notes to 2 constituent records because an individual pays thru their foundations/corps. For example, Mr Smith gives thru his foundation so when the gift comes in the notes are all on Mr. Smith's record not on the foundation or the corp and so when the gift is batched the info gets lost, fundraisers are not notified because the foundation/corp record does not have the info  or vice versa. Is there a way to link the notes and actions thru the relationship record so that people who process the gift will flag the gift for the fundraiser who is cultivating the relationship?

  • Are you soft crediting the individual for that foundation gift?  If you did or do, then you can pull info based on SC and the individual names/info could be included no?
  • Do you have the Prospect tab? If so, you can keep all notes on Mr. Smith’s record, and link all those notes to a proposal. Then when the gift comes from the foundation, the gift is linked to that same proposal on Mr. Smith’s record. Everything related to the solicitation and gift, including notes, media or attributes, can all be kept neatly together.

    If you don’t have that module, then I think the soft credit approach Christine suggests, or copying notes as you have been doing, may be the only alternatives.

     
  • I have been asking about the ability to copy notes/actions easily into more than one record, but this doesn't currently exist. The soft credit recommendation is good, in that it will copy to gift history, but that doesn't solve the issue of notes and actions showing up in each record. Would love to see a check box option in the actions/notes window that we could just click to copy to all those that the constituent have a relationship with. We encounter this all the time and it's frustrating how much time it takes to appropriately do this. If someone has an individual record, a business record, and their spouse has a record it's lots of copying. Good luck
