Virtual Events

Hi Friends,

We just started offering virtual programs using Zoom. I am trying to figure out the best way to email multiple constituents an invitation to participate in a variety of virtual events while limiting the number of people that can actually sign up for each. And, most importantly, only send the Zoom ID and passcode to those who register before the event reaches capacity. Then of course link Event participation to the constituents that got in. For ~10+ separate events a day. 

How would you do this? Im competent with Raiser’s Edge and NXT, and we have Online Express but I’ve never used it and from a conversation with a colleague it sounds like it would be a cumbersome approach.

  • You should be able to set a limit on an event using an Online Express event registration form - although to be fair, I've never had an event we've done this with reach capacity, so I don't know what happens when it does. You can then put the Zoom link/password in the confirmation email and/or on the confirmation page. Emails about the event go out to whatever query you select. Designing an email in OLX isn't too hard. Please feel free to send me a message here if you have any questions.
