Student withdrawing but has a Submitted contract
Hi all,
Thank you for taking a moment from what is surely an incredibly busy time for you to read this post.
We have a few students from whom we have received a contract but no deposit - they have since said they will not be enrolling. I have marked their contract in Enrollment Management as Not-Returning. However, their status remains Submitted. I checked with BB Support and they suggested that I save a copy of the submitted contract, delete the contract, assign a contract again (but don't generate) and then mark it as Not-Returning.
Just curious if this is what other schools are doing? My goal is to make sure I don't lose track of the number of contracts I offered and the number of students that said they are not returning. This seems like it should work but before I start deleting contracts I thought I'd check with the broader community.
Thanks in advance for any tips/comments/suggestions you may have!
Be well,
Kathy

I use the method you describe for incoming students who do not attend--remove any previous contract and re-assign a new (ungenerated) contract with the 'not returning' flag. Less frequently we have an incoming student who submits contract & deposit and then makes the decision not to enroll. In that case, I've marked the existing submitted & processed contract as 'not returning' and it's automatically labeled by the system as 'withdrawn.' Students in this category show up on the Potential Student section of the Capacity Planning screen as New Student Not Enrolling and they are included in the contract enrollment analysis screen as 'confirmed not returning' along with non-returning current students. The other non-enrolling new students (with an assigned but ungenerated contract) appear in the count of total contracts, but they are not shown in any of the other tracking screens. Hope that all makes sense--took me a while to figure it out!0
