Marking Actions Complete with Workflows

Hi all, 

I think it is the case that there is no action status field in the workflow designer, but in case I'm missing something... Is there a way to mark actions completed with the Workflow designer. Now that automated emails are live, we'd like for an action to be automatically added and marked completed when an email sends. Any chance that's an option or in the works?

    Thanks for reaching out! My name is Kylee Long and I and the Product Manager that owns the Workflow Designer feature in RENXT.  At this time, we do not have a way to add a completed action into the constituent record with Workflow Designer.  One thing to note is that there will be a new feature coming to NXT in the near future that will document on the constituent record that a constituent received an email- that way you can track that they got it, and whether they opened it or not.  This may/may not give you what you are looking for, but maybe it will help a bit. I'll keep this need in mind as we move forward though, to see if there is anything else we can do.

  • We had a similar thought when the feature rolled out, so you're not alone!  Not being able to see the outcome of an automated email send on the constituent record is a blocker for us.

  • Just wanted to check in to see if this is still the case that actions cannot be automatically “completed” in a workflow. We are trying to use Workflows to send an automatic email when someone makes a gift to a particular fund. We'd like to be able to track our stewardship through a completed action. Does anyone have a workaround for this?

    Yes, it is still the case that actions cannot be "completed' with a workflow. Actions would still need to be marked completed manually, by someone at your organization.


    I am not aware of any workaround for this, but maybe someone has figured out a cool system that works well enough!

    Hi there Kylee - checking in to see if this changed & I just can't see it….

    I can add an action such as sending an email and then assign it to someone but I cannot mark it completed even though step two of the work flow is sending the email.

    That staff that was assigned still has to go into the record and mark it complete? Am I correct in how this works?

    @Deedee Mader - Welcome to BB Community forums! Yes, you still need to go to the action record to mark it complete. If there are a high volume of these, you could set up a Global Change that you run daily to do this in bulk.

    Thank you for the welcome. This area seems to be more helpful than the chat with support area to me. In terms of a global change can you tell me more about how that would be done? Can a workflow be set up for a global change daily like that or would I need to go into Administration?
